Hey Team, 

It's time for renewals and I've got 2 reminder mails from TMI already. I believe you've received them as well. 
I wanted a consensus among all the club-officers before we went ahead with RENEWAL announcements but due to circumstances that you are aware of, we couldn't hold the ex-comm meet after Meeting #26 this Sunday. Delaying the action is dangerous.

Hence I have sent out an e-mail on behalf of our Team requesting members to renew. Request you to check through and get back to me or Saro if you've any doubts regarding the math or the procedure.

Transparency and integrity is of paramount importance. Just in case you aren't clear with the procedure or the math kindly ensure that you get it clarified or simply re-direct them to someone else who can clarify.

Sivathanu paid Rs.4500 at the time of joining (though he is a re-instated member). However, he got two new manuals from the club. He need not pay the additional Rs.500.

Harish paid Rs.4500 already. Since he is a dual member, he needs to pay just $36 + $6 (for the extra month). We need to give him back Rs.1000.

Satish is also a dual member. He needs to pay Rs.3000 (he hasn't already paid this) + Rs.500 only.

Mohan Raj is a new member and he has already paid Rs.4500. He joined only in this month. We may need to charge him only Rs.500.

I would recommend looking at the CCC-Management sheet (Columns I & J).

Please let me know if I'm missing something.

We've had a great contest and a fair deal of learning since embarking on our Toastmasters. journey.
It's now time to pay back.

It's that time of the Toastmaster calendar year where we all have to renew our memberships. Toastmaster's financial year has two halves beginning April and October. Each club member is expected to renew his/her membership before the end of the month. 
Since we as a club have chartered in September, we are liable to pay renewal fee before the end of this month. Details of the amount you've to pay is as follows - 

  1. NEW MEMBER - Rs 500 
  2. RE-INSTATED MEMBER - Rs.500 
  3. DUAL MEMBER - Rs.3000
  4. TRANSFER MEMBER - Rs. 3000 
The club will remain functional only if each member renews before September 25th, 2012.

To know which category you belong to please refer the attached excel sheet. 

For your information, the criteria are -
All members who began their Toastmasters journey with the club or re-joined Toastmasters after a break; fall under the category 1 and 2. 
Members who've joined the club, in addition to another club they were a part of are Dual members. 
Members who've transferred their membership from another Toastmasters club from anywhere in the world belong to Transfer members.



Request you all to make payments to our Treasurer, positively by September 25th. Administrative procedures need a week's time to complete renewals; request your co-operation to help us complete a hassle-free renewal payment.

To understand the math behind the numbers -
Renewal fees for 6 months = Rs.3000 = 6 X 500
=> Renewal fee for 1 month = Rs.500

Since we chartered in September, only one month is counted by TMI although we've been around for 7 months now.

Hi Saro,

Mohan Raj was an typo error - Its 500 only. Thank you for pointing at it. 

Harish and Satish, dealt directly with final payments at the time of chartering and I am unaware of their finances.
Hence I will take your word, as you know chartering finances better than anyone else does.

Hi Team

 We are collecting renewal fee as part of TMI process . Many of our new members have joined in the month of July and Aug. We are also collecting renewal fees from them. In addition to that we will be collecting  fees on next march for the next financial year. 

If I am right ,how  are we going to face this situation?  Did we plan to tackle this situation? Are we expecting new members to pay 4500 Rs for just attending one month in this term? Will we be able to convince them?  Will we be able to retain the members if they know that they just paid whole amount  for one or two months for this term?

If the way I took it is right, Please answer these questions. I am already getting inquiries from New members reg this.

This will become a big issue if it is not dealt properly.

Dharma,

I believe there is some confusion. I just want to clarify. Hope the following information provides some background details. Feel free to share this with members who raised concerns.

In summary, members DO NOT HAVE TO PAY Rs.4500 for just 1 or 2 months :) Please find below the details:
  1. We collected money from different members at different point in time. However, the club was officially chartered as of Sep 2012. So, the payments made by ALL the members will become active from Sep 2012. (Members who joined us before Sep 2012 got to perform various roles in the meetings without an active TMI membership. Their money was saved :))
  2. TMI charges its members for 6 month cycles (Oct - Mar and Apr - Sep). The payment has to be made to TMI before the beginning of the cycle. Our club was chartered off the cycle in Sep. Hence, some members have to pay for 1 extra month (Rs.500). They don't have to pay anything until Mar 2013.
  3. A new member who joined CCC in Sep or before has to just pay Rs.500 (they don't have to pay anything again until Mar 2013). 
  4. A transfer member who joined CCC in Sep  or before has to just pay the full renewal amount (i.e., Rs.3000). They don't have to make a payment again until Mar 2013
  5. A dual member who already paid us Rs. 3000 for the dual membership has to just pay Rs.500 (Harish and Satish are the only two dual members. Harish already paid us Rs.4500. We have to give him Rs.1000 back. Satish will have to pay us Rs.500)
  6. A re-instated member who already paid Rs.3000 for the membership re-instation has to just pay Rs.500 (Divya and Siva are the only two re-instated members. Re-instated members normally do not get any new manuals. Siva got his CC/CL manuals from the club. However, he paid Rs.4500 to the club already. Siva doesn't have to pay anything extra (Rs.3000 for re-instation + Rs.1000 for manuals + Rs.500 for the 7th month. Divya has to pay just Rs.500)

Thank you for that detailed mail clarifying things Saro :)

I thought we'd already discussed pro-rata in one of our earlier ex-comm meetings, Team :)
I remember Saro wasn't there. Gomathy and Rajesh were also there with the rest of the ex-comm. It was the quick-meet where we first discussed about snack and I remember, we discussing about keeping a separate chair for the TMOD/TT-master/GE.

Nevertheless, to err is human.

May be we should start documenting ex-comm meetings as well and have brief minutes for ex-comm meets. What do you think, Team?

Thanks Saro for detailed mail and clarifying us about fee details. Hope this mail will help Ex com to clear the doubts of members. 

@Divya thanks for responding back.. I do agree that we had a meeting . But primary objective was not clearly discussed at that time. We discussed about how money will be collected. The most important thing is "Meetings happened until September were  free  for  our new members "! That is what the clarification I was looking for.
