Some suggestions and feedback from Our Area Governor

 Dear CCC Team,

Recently I had a chance to interact with our Area Governor Rajesh Natarajan. He came up with some ideas to improve our club meeting quality. 

  • Create Guest kits and give it to guests. ( Guests should go back and look into something related to Toastmasters. One or two page of relevant info about Toastmasters and testimonials from diversified Toastmasters related to how it helped them can help in this )
  • Meeting should Start and end on Time. Our meeting gets over by 5.15 most of the time . Try to avoid Lengthy Presidential and TMOD speeches to make sure that meeting ends on or before 5 Pm.
  • If we are running out of time and still want to take Guest feedback, try to take it offline.
  • Also don't ask guests to pay guest fee if they are interested. Please mention them it is mandatory
  • As We are charging guest fees, it is high time for us to provide some snacks. Rajesh said that he knows a biscuit factory which operates on Youth development purpose. He said that we can even project that we are doing CSR  if we get the biscuits from them.
  • Also, in order to entice guests, he asked to conduct a quiz programme at the end about the meeting and distribute chocolates.

Rajesh will be coming to our meeting this week. Please discuss about his ideas and take it forward.

My points

In addition to that my sincere request to whom so ever is playing presidential address role, kindly ask some one to take the next week role player list before the end of meeting. Please don't ask for Role player list after adjourning the meeting as I am not getting proper responses from the crowd and they are in a hurry to leave.If Role player list  is not taken during meeting  , my workload gets amplified and have to search for  the role players whole week. 

I am requesting Saro to give enough Gyaan about Sandyeast to  club members automate the process which was initially suggested by our president.  We should start to use it to automate the role player selection.  

Also, Please add the new members to Google group as soon as they pay the money. We have close to ten new members and I believe they are still not added in the group. CCC management sheet is not in a proper shape. New members full details are not available in the sheet. Some new members email ids as well as phone numbers are not available in the sheet. How can I reach out to them if they have taken a role for the meeting????   Some one please  take the ownership for completely filling the new member details in the CCC management sheet. 

Also requesting PR  to project Timings of the meeting as 2.45 to make sure that people are coming ten mins before the meeting. 

Send out Detailed Minutes of meeting for every week meeting . Please make it as a rotation among officers in the absence of Harish Katriaya. 

These are the main points which i want to take it forward to the attention of club officers. Please do the needful.

thanks for your inputs. I believe we all had discussed about this long time back.
anyways, lets take all these tasks and proritise and give ownership to individuals.

now that we are no more a baby club , we need to think differently,

pl do let me know how I can help you as the mentor of the club.

I think we can achieve many of these if EVERY CLUB OFFICER discharges his/her duties EVERY WEEK. That is the fundamental issue that we have to focus and address. If we do that, the rest of the items will automatically get addressed.

Since we started the club, only 2 or 3 officers are ACTIVE at any given time. With that workforce, we are able to put together just an average show.

TIME FOR US TO FOCUS ON OUR BASICS. Now that Divya is done with her exams, we should continue to have our monthly excomm meetings and discuss these items.

As always, I'm there to support.
