As discussed earlier this evening on the
bi-monthly volunteer leader call, we are pleased to report that
the Chapter
Portal has been successfully tested with all functionality
completely restored.
We need to take a few final steps to point the functionality from
development to production mode and re-test, but effective this
Thursday
afternoon (11/18) at the latest
you can send emails and run
Membership
rosters from this area with real time data. You also have
the same continued access to all of the support areas within the
Chapter
Resources section (i.e. Manuals, Presentations, Visit Support,
etc.).
You will get a confirming email on production mode Chapter
portal functionality
from your Community Relations Associate.
When logging in to the portal, please
know
that you should make use of the same user name and password that
you use
for all of your other IMA business. Your user name is your
member/customer
number. In the event you experience difficulty logging in with
your
existing password, simply click on the “click here to reset
password”
link and follow the instructions. Any further challenges, please
contact your Member Services (800) 638-4427. This Single Sign On
(SSO) capability is enhanced user functionality with our new
member database
Personify.
You can also now report your own CPE at
this
time through the portal, however please note these important
process changes:
· For
live-instruction Leadership Academy events run by your chapter,
please
use the attached sheet and send to your Community Relations
Associate.
We will upload CPE for these events from the global headquarters.
· For
other events run by your chapter, please use the chapter portal to
record
CPE.
· For
Council led events, please also use the attached spreadsheet and
send to
your Community Relations Associate to record your CPE.
Regarding Chapter Competition
reports,
we will deliver these and the other activity reports in January.
As mentioned in my note to you on October 8 (see below), we have
come to understand the IMA chapter competition process is
“non-standard”,
i.e., a customization to the base software, and we frankly
under-estimated
its complexity. Regarding compensation during the transitional
period,
we have compensated you based on past performance averages and
there have
been no delays in payment. Thank you again for your patience as
it
seems this transitional approach to compensation was well
received. We
expect to return to payment from actual activity based on the
parameters
set forth in the 2010 – 2011 Chapter Competition &
Compensation Guide
when Chapter Competition reports are delivered.
I can assure you that the team has made
chapter
functionality its top priority, and as just one example, many
members of
the team spent all day Saturday in Montvale with our technology
partner
TMAR. Also, although it will take time, having built the
foundational
capabilities at the global and local levels will be the
springboard to
innovation and we commit to seeking out these ideas from you as we
proceed
forward on our growth journey (e.g., ideas for a Council portal).

I am writing to update you on our
progress
with the production of the Chapter Portal, and
Compensation/Competition
module tied to our new association database. If you recall, in
July
IMA delivered a new association management system, new learning
management
center and new website to improve the overall member experience
via integration
of various portals, single sign-on and improved navigation. We
also
put in place true e-commerce functionality which has allowed us to
process
thousands of customer transactions while improving cash flow for
your association.
In the long run, in addition to dramatically improving the member
experience, the new technology should be the springboard to
innovation
and sustainable growth.
Getting the “systems right” at the
global/enterprise
level was the starting point. We have processed thousands of
e-business
transactions since systems launch, and have gotten very positive
feedback
on the new website (and, we have fixed isolated bugs that come
with any
large scale system install as annoying as they are). We moved
quickly
into post go-live “phase 2” development including restoration of
full
functionality to the Chapter Portal, delivery of Chapter
Competition results,
and delivery of Compensation - all promised in October. Based on
early testing of the functionality provided by our technology
partner,
and the need to “get it right” at the local chapter level, we need
to
delay the full functionality. Because the IMA chapter competition
process is “non-standard”, i.e., a customization to the base
software,
we frankly under-estimated its complexity.
We will have a status update, possibly
including
phased implementation, for you during the Volunteer
Leadership Call
on November 16 (reminder details to be sent out soon).
I apologize for this delay. IMA Global
has demonstrated in tangible ways the past two years how vital
Chapters
and Councils are to the success of IMA, and that comes “straight
from
the top”. However, we must do better and we will do so.
To help you manage this delay, we are
taking
the following actions:
· We
are going to continue to compensate you during this period based
on past
performance averages (there have been no delays in payment with
this system).
· We
will also continue to produce on demand Membership Rosters,
produce labels
and/or execute emails for you inclusive of real time membership
data. Please
reach out to your Community Relations Associate to make these
requests.
Regarding email requests, please note that requests must be
received
by Tuesday of the prior week, and final copy must be received two
full
business days prior to requested send date. We will not have the
ability to host attachments, but we can include text of links in
the communications.
· Since
I am aware that you have been holding your CPE and the portal is
not set
for you to self report, we will be handling this for you during
the extended
transition period. To submit your CPE, please simply fill
out the attached spreadsheet, label the file with your chapter
name, and
send to your Community Relations Associate.
· IMA
Global is raising CMA compensation to $70 per part passed
($70 x
2 parts = $140 > $30 x old 4 parts = $120).
· As
a simple way to thank you for your patience, we are providing a
heavily
discounted registration (50%) – one per active chapter – to the
annual
conference in sunny
Orlando
next June for conference educational events (excludes travel and
optional
events). If you recall, last year, we raised the number of free
conference
registrations from one to two at the Council level.
