National Debrief - Change of Plans

Dear GLOW warriors,

Change of plans. Just got off the phone with Mary and she said she
wants us to re-schedule our meeting. The short version: Too many
people will already be in Kigali due to Judge's Opening Ceremony +
Portfolio Review = too much happening at once.

So, we need to find a different date.

I propose we re-schedule the meeting for SATURDAY, FEBRUARY 18th (with
a back-up of the 25th). I skipped over the 11th for a few
reasons...first, it's a lot of traveling for those of you involved in
the judge's program. Second, all camp admins from Nyaruguru won't be
able to attend on the 11th. If everyone could write me back with how
the 18th works for them, that would be greatly appreciated. Or call
me - it's way faster (078-466-1141).

Mary gave us the go-ahead to switch to a Saturday meeting, which
should be more convenient for all involved, so that's a plus.

Sorry for the last minute change. But hopefully this will work for
all involved.

Hey Whitney,

Just read this update. I may be a huge minority on this point, but I
have to teach for the Judges project that Saturday. At this point
there's no way I could switch weeks with anyone. Would it be too
inconvenient for everyone to change the meeting to Sunday?

Hi Nicole,

I wish we could re-schedule, but Mary wanted to move the debrief to a
Saturday to make sure everyone could make it back to site for Monday.
I'm sorry for all the changes in schedule and I would love any
feedback you would be willing to provide via email, if possible.

Hey All,

Again I would like to stress that Musanze region is having out
regional meeting on this Saturday (in which we need to tie up lose
ends from our camps) so if the meeting can't be moved, we probably
won't be able to make it.

Good morning,

I'm sorry to hear about the scheduling conflict, but at this point we
can't move the debrief. Mary essentially set the date and it seems no
matter which date we chose it is problematic for some.

I do know, however, that Joel Atwood from the Musanze region said he
would be able to attend on the 18th, so Musanze will be represented.
If you would like, please send me your individual feedback via email
and I will be sure to bring your thoughts/concerns to the debrief.

In addition, we will have note-takers at the debrief and I will be
happy to send them out to those that were not able to attend but wish
to see them.

Hi guys --

I really think we should work on changing the date. I don't think its set in stone and I think Mary would be flexible if she was made aware of all the people who have conflicts with the new date.

It sounds like a significant number of people have issues with the new date and for the debrief to be most effective, we should really push for as much participation as possible.

Hello all,

I would be happy to think about changing the date, but in talking to
people it seemed someone had a conflict with each of the other dates
presented. Additionally, with the judges program running every
weekend, there will always be someone from Ed2 unable to attend.

I’ve contacted all camps and at all but one will have 2
representatives attending the debrief. According to emails and phone
calls, only 4 people – 2 from the original TOT – will not be able to
make it on the 18th. Trying to get the date approved by senior staff
and finding a date and time that works for the 16 PCVs involved is
going to present a conflict for at least a few.

As a reminder, you are still more than welcome to submit your talking
points as they relate to the agenda via email. I will be more than
happy to raise them at the meeting.

Christine, maybe you can re-schedule your outing with your co-workers?

I think we should move forward with the 18th. However, if enough
people think this is a serious issue, please appoint someone to
contact all those involved to try and find another date.

Hello GLOW Debrief participants,

After some discussion we have decided to keep the GLOW meeting as
scheduled. I am writing to confirm the date of the debrief will be
Saturday, February 18th. We will begin at 8 AM in the 3rd floor
conference room above the Cas.

Please reply to confirm your attendance, as we will all need
permission to be in Kigali.

Remember, this debrief is a time to bring lessons learned from each
camp together with the intent of creating a national handbook. This
handbook will be available to all regions during their preparation for
the 2012 camps.

Hello all debrief attendees,

All is set on PC's end. All volunteers attending the debrief have
permission to be in Kigali for the meeting. A few friendly reminders
from Mary:

1. Even though you have permission to be in Kigali, you still need to
text the travel phone when you arrive in Kigali. Also, don't forget
to text the travel phone when you get back to site.

2. The IRC lock situation is still unresolved. The door will need to
be manually locked and unlocked, as PC is still dealing with the issue
of volunteers sleeping there. For the debrief, the doors will be
unlocked at 7h00 both Saturday and Sunday and then re-locked at 19:00.
This is your heads up, try not to get locked in.

3. It is our job to make sure we leave the conference room tidy. I
would appreciate it if everyone would stay a few minutes after the
meeting to make sure we've cleaned up after ourselves.

4. I still need a volunteer note-taker for the meeting. Let me know
if you're game.

5. Christine Hooyman and Kerianne Hendrickson had a very productive
conversation with Gordie about extending the use of 2011 money to help
train Junior facilitators for 2012 camps. More on this later, but I
thought it would be good to spread the word now.
