Firstly, thank you so much for all your support and cooperation in making this event a very grand success.

This is just to clarify once again why only a single quote was taken for the Event Planner for our Get-Together held on 9th December, 2017.
As stated earlier in my whatsapp message on the group,
1. Firstly it took some time for us to identify a good event planner. Event planners during this season are difficult to get and those whom we contacted were very highly priced and others were not available for the dates we needed.
2. The ones available wanted a cash payment, and some wanted a 100 percent advance payment, which we were not very comfortable with.
We however convinced him to take a cheque payment from us, with an initial advance of Rs.40000/- and the balance payable on completion of the event.
Nimit’s reviews were extremely high on the various social groups and from neighbouring soceities like Lake homes, Raheja etc -he gave the best deal possible and hence all the cultural committee members were of the view that we should go ahead with this “event manager”.
We had our first meeting with Nimit on 31.10.17 and subsequently another one on 20th November, which was in the presence of all the other Cultural committee members/volunteers/ organisers who jointly decided on the final events, activities and ofcourse the rates.
The team of organisers included
1. Mrs. Sunita Krishna
2. Mrs. Anuradha padalkar
3. Mrs. Shraddha Pandya
4. Mrs. Gauri Hadap
Subsequent to this the advance payment cheque was handed over on the 27th November.
I would like to add here that, all the Culture
Committee and the Management Committee were in agreement of appointing Nimit
before giving the advance cheque of Rs. 40000/-.
· Since the management committee approved a budget for the event and was kind enough to let the cultural committee take the lead in organising it, we decided to take a decision so that execution can be started soon. The choregrapher who choreographed the kids dance was also called because of his good name and he did a fantastic job.
· The matter was again discussed in the monthly meeting of the Management Committee held on 7th December, 2017 where a brief of all the arrangements for this event was discussed and finalised.
We understand that three quotes are normally taken by a soceity for any project/expense, but this was completely circumstance/need based and time was running out.
The feedback received however has been very positive and a fantastic one on all the Camellia whatsapp groups that we have. Thats all that we wished for
Yes this point would be kept in mind next time there is an event/project planned.
