Friends, 

Attached you will find the meeting minutes from our Immigration Task Force Meeting yesterday in Stockton.  Thank you again to Jola for hosting us!

For those of you who were not present, we will be hosting a "training for the trainers" on Saturday, May 2nd at Laurel UMC in Oakland, CA.  We hope to equip a variety of committed people (advocates and immigrants alike) across our Annual Conference to go back to their local contexts/districts/churches and train their communities.  At this training we will have three workshops: 1.) "Know Your Rights" (with an immigration attorney), 2.) Money Matters, etc. (focus on the importance of paying taxes, getting a TIN, how to open a bank account, etc.), and a workshop on 3.) Advocacy.  My hope is that the workshops will not be optional, but that each participant be required to attend each workshop so that they will be best equipped to go back to their churches/districts/communities, etc.

The training day will be held from 10 a.m.-3 p.m.  We did not talk about it yesterday, but I think that it is a good idea to supply lunch for folks for a modest cost.  Also, the cost of any materials could be covered with a nominal registration fee.  Thoughts?  $10?  Please let me know asap as I am working on a flyer!

Sorry I'm so slow in responding to the questions near the end of this e-mail...  My opinions are as follows: 

Yes, charge a fee.  Ask districts to pick it up if the participants cannot.

Yes, $10 is good.  It should cover lunch and copying.

See you all next Tuesday at my house for our next meeting.

Hi All,
 
Just to let you know that Rev. Maile Koloto and the Laurel UMC are willing to prepare us lunch (Tongan Style) for a minimal amount - which is nothing. So come prepared to feast at lunch, all we need to charge for is the copied materials, if copied outside the conference center.

Thanks, Dave and Maile and Laurel!  I think we should go ahead and charge the $10 with provisions for waiver if it is a hardship.  We will know more when we talk about budget on Tuesday.

Speaking of Tuesday, how many of you are planning to be here?

Tuesday, March 31...  I seem to have a pocket in my head where sits the coming week!  I'm trying to move March along!

When I spoke with the Laurel folks I asked them if they would provide the lunch for a minimal fee to be included in the registration. The response was 'we will provide lunch for free, we want people to come.' I think there is a cross cultural issue here that we need to be aware of. When we give people the opportunity to give money, no mater how minimal, certain group won't show up, and sadly, they may the ones we need to come. They have a different way of giving but not money, like giving a feast maybe?
How can we provide the opportunity to give in a way that comes straight from the heart and not from registration? Do we really believe in the diversity we preach or is it becoming just a buzz word now?
I'm sure we'll figure out a way that will honor each others' way of relating.

Thank you for the information!  I didn't know about their desire to 'provide lunch for free, [because they] want people to come' when I suggested that the registration fee could help us do other things this year.  Also, we will have some budget concerns to discuss at our ITF meeting.  But, I, in no way meant any disrespect!  Thank you for your willingness to engage my ignorance!  There are some who will not come because they don't value events that don't cost, as well. 

I think we can talk more about the details on the 31st, but I defer to whatever the majority thinks about the registration fee as I know Brenda is trying to get a flyer out.

Thank you for your understanding, something I treasure. I'm totally with you on the issue of providing the opportunity for people to give, and charging people for the service they receive. We talked about that in our last workshop in Livermore. All I'm trying to say is that there are folks that operate differently from that mindset. I believe our task for our next meeting is to think of ways that will recognise and honor different ways of 'giving' and 'charging.' That's one of our responsibilities for the 31st meeting. Thank you for your suggestions regarding a registration fee for our upcoming event on May 2.

Suggestion: What if we asked for a donation?  Organizations have often discovered that this method encourages participation, while at the same time giving folks the opportunity to give back at a level they can handle.  Sometimes people even give more than what a set registration fee would ask for.  

I also suggest we decide this before our March 31st meeting so that a flyer can be circulated with enough lead time to the May 2 event.  

Please let me know what your thoughts are!

Indirect communicatorts, like many of my fellow ethnic folks, would talk all day, or should I say 'beat around' the bush' just to say what you just said. It's just a different way of communication. You have my vote. It give the opportunity to everyone to give in their own way.

As long as we do it at registration it might work, but I would want to hear from Dave before we decide.  Some may assume the donation is for the food.  I'm willing to go with a consensus on this.

Based on Dave's okay, I'll add mine.  The flyer might read something like, "No fee; donations gratefully accepted." or "No registration fee, a love offering will be accepted/taken."

I don't think we need to say in the flyer when we will take the donation, whether it's at registration or take as a love offering or what not. What's important is to state in the flyer that we will accept donation for the purpose of helping us with the work of the Task Force since we don't have any budget. When we will take that donation is for us to talk about at the meeting maybe?
We still need to have RSVP though. It would be very helpful for the Laurel folks to know the count (but I wouldn't state that in the flyer) and also for the materials to be copied and prepared for that day (I'd state this in the flyer as the reason for the RSVP). If we decide to RSVP who will take them and what would be the cut-off date or do need to?

Good thoughts, Dave.  My "timing" remark meant as opposed to taking donations in the lunch line or something like that.  If we are starting or ending with a worship, we could talk about it as a love offering.  Whatever, we can decide that on Tuesday.  I do support trying to get an estimate of attendance ahead of time.
