Summary (Summary of overall role responsibilities)
The Payroll
Specialist supports the Company’s third-party payroll processing model by
serving as a key internal resource for employees, managers, Finance, HR, and
the external payroll provider. This role will support Canadian, U.S. and U.K.
payroll activities while also assisting with related work, including preparing,
reviewing, and validating payroll-related information for submission to the
payroll vendor; fielding and resolving employee payroll questions; supporting
time and attendance activity; maintaining accurate payroll records; and
assisting with reconciliations, reporting, compliance, and ad-hoc
payroll-related work. The Payroll Specialist must have extensive experience
with Dayforce, be highly detail-oriented and service-minded, and be able to
coordinate effectively across internal stakeholders and external partners to
ensure payroll is accurate, timely, and well controlled.

Key
Responsibilities (Outline Core Responsibilities of Position)

Support payroll activities primarily in US and Canada populations,
including assisting with country-specific payroll inputs, employee
questions, reconciliations, vendor follow-up, and documentation
requirements.

Assist payroll team, employees, and managers payroll questions, including
inquiries related to pay, deductions, taxes, direct deposit, garnishments,
timekeeping, and payroll timing.

Assist with preparing, compiling, reviewing, and organizing
payroll-related information for submission to the third-party payroll
provider in accordance with established payroll calendars and deadlines.

Assist researching payroll issues, data discrepancies, off-cycle payment
needs, tax questions, and processing exceptions.

Assist with reviewing pre- and post-payroll reports provided by the
payroll vendor to support validation of accuracy, completeness,
reasonableness, and compliance with Company policies and applicable
requirements.

Assist with maintaining payroll files, including payroll registers,
employee support documentation, vendor reports, tax-related information,
audit support, and other required records.

Support time and attendance administration, including assistance with
timesheets, missed punches, schedule exceptions, approvals, and employee
or manager questions related to timekeeping.

Work with HR, Benefits, Accounting, and field locations to help ensure
payroll inputs are gathered, complete, and available for timely
processing.

Assist with payroll reconciliations, including benefit deductions,
earnings, taxes, garnishments, general ledger postings, funding requests,
and quarterly or year-end wage and tax activity.

Assist with garnishment processing, including gathering required
documentation, coordinating with the payroll provider, supporting employee
questions, and maintaining related payroll records.

Assist with payroll-related controls by following up on exceptions,
approvals, missing information, and open items to support accurate and
timely payroll processing.

Assist employees and managers with navigation of payroll and timekeeping
systems, including basic troubleshooting, process guidance, and escalation
of system issues as needed.

Support audits, compliance requests, reporting needs, process documentation,
and internal payroll procedures.

Assist with ad-hoc payroll, reporting, analysis, and process improvement
work as needed to support Finance, HR, and business operations.
- Required
Skills (Outline Core Requirements including education, years of
experience, position requirements, required competencies, special
requirements such as travel, etc.)

High school diploma or equivalent required; associate or bachelor’s degree
in business, HR, accounting, finance, or related field preferred.

Dayforce payroll and/or timekeeping experience required.
-
Prior payroll, HR, timekeeping, finance, accounting, or administrative
support experience preferred.

Experience supporting payroll activities in a multi-state country or
multi-location environment preferred.

Preferred experience supporting both Canadian and U.S. payroll, including
familiarity with multi-jurisdiction payroll processes, payroll calendars,
taxes, deductions, timekeeping, and employee payroll inquiries.

Experience working with or supporting a third-party payroll provider or
managed payroll service preferred.

Strong customer service skills with the ability to respond to employee and
manager questions in a timely, accurate, confidential, and professional
manner.

High attention to detail, strong follow-up skills, and ability to organize
information accurately for payroll review and processing.

Ability to manage recurring deadlines, prioritize tasks, and support
payroll activities in a fast-paced environment.

Strong communication skills and ability to work effectively with
employees, managers, HR, Finance, Accounting, field locations, and
external payroll partners.

Basic understanding of payroll processes, timekeeping, earnings,
deductions, benefits deductions, payroll calendars, and employee payroll
records.

Proficient with Microsoft Office Suite, particularly Excel, Outlook, and
Word.

Ability to handle confidential employee and payroll information with
discretion, accuracy, and sound judgment.
