T-3 Weeks Shule Meeting Notes

The first day of the rest of our lives is coming soon.  Our children will be adults and our duties will be over.  Before the notes, some reminders from Lauren:
  • Betsy will be sending out signups and lists of things we need to keep on our radars (and refrigerators). Everyone should look at these emails  and rsvp any questions of concerns asap.
  • Please don't discuss staffing changes with kids or anyone outside our group for until we hear back from Jen K.
And two things that we discussed as the meeting was breaking up:
  • Seating assignments are due by June 1.  Most tables fit 10 people.  Some (15) fit 11 or 12. The fewer tables we need, the easier it will be to assign everyone.
    Drop dead date for table assignments is 6/1.
  • Lauren wants to talk about brief parent->kid statements.  I'm going to put this in a separate email because it may elicit more discussion.

5/22 - 6/1 Active editing back-and-forth.

5/25 Final really we-mean-it deadline for RSVPs.  Including number of dancing socks for kids.

5/29 - 6/1   Solid second draft.  6/1 is technically the deadline, but Megan would prefer sooner.

6/1 Last day to update spreadsheet for numbers of teens and children attending

6/1 Drop-dead date for table assignments

6/2   Last class.  Bring pictures for bags

6/4   6PM: Rehearsal:  Final statements due at rehearsal at the Runkle multi-purpose
Last chance for pictures.  Kids only.  Grownups may be meeting at Barcelona?

6/8   Kid and a parent at 8:15AM at the Marriott.  Don’t forget your poster.

Day-of-Mitzvot Checklist

Don’t forget your poster!

Make sure the name and project name are on it.

Megan

  • Statements:  Working with the kids to move beyond bagels, latkes, and hamantaschen.  Megan will work with the kids to identify overarching themes

  • 3-5 minutes. 2.5 - 3 double-spaced pages.  If it’s < 3 minutes, it will feel short. Scott says to assume 100-150 words/minute

Name Change

Patrick reported on the board meeting around the name change; felt like the board listened well.

Details

Money

Update the spreadsheet / send Dan any vendor cost estimates.

Hotel

Don’t know if it’s too late, but Lauren has gotten the hotel to make rooms appear.

Program

Everyone needs to proof their text/names.  We want to get the program in to the printer early early next week.

Slideshow

Need table, tape.  David to make sure that all the photos end up in one place for Bobby to download.  Parents can upload a few pictures of individual kids.  Not yet sure on the screen.

Party details

There’s diversity of dessert, including vegan desserts

Wine:  We will self-report on the number of our tables that drink.

Heather to provide Kiddush supplies

Scott’s Dad can pick up the three-foot challah from Blacker’s

Anne or Patrick to pick up programs

Song recommendations to Lauren if you have them.

Lauren wants 2-3 family pictures per table.  Of size to clip to a small ( < lunch bag)

Place card email coming.  Place cards will be supplied on the 2nd.

Thank you to David for your notes! 

All-
We had a jam packed meeting with three guests and got through a lot of really important process as well as content. It was wonderful to have much of our group together though we deeply missed Joanna and Betsy/Marc and all the partners who couldn't be there. Hopefully all of the emails will catch you up on the big stuff.

There are of course many odds and ends to iron out but we have done a truly wonderful job together so far and I expect the trend will continue to and through the big day!

Please see Scott and Betsy's emails (some in gmail) for info on the program and a bunch of deets re: party stuff.

We will also be in touch re: solidifying parts of the ceremony involving family members in blessings and candle lighting which will be simple, lovely ways to include more of our mishpocheh.
