Dear VOBA Member,

It is once again time to hold the AGM and to elect a Committee for the coming year. The Notice and Agenda  is detailed below.

The 26th AGM will be held on Saturday, 22th Nov, 2025 at Fr.Oesch Hall of the St.Vincents High School and will be followed by snacks.

The programme for the evening is as follows.

5.15 To 6.15 pm - Polling.

6.30 pm - VOBA General Body Meeting.

Note:   VOBA Directory of members is online with membership nos of the VOBA members.

Notice of 26th Annual General Body Meeting of the day of V.O.B.A

Notice is hereby given of the Twenty Sixth Annual General Body Meeting of the members of the VINCENTIAN OLD BOYS ASSOCIATION which will be held at Fr.Oesch Hall of the St.Vincents High School, St. Vincent Street, Pune 411 001 on 22nd Nov 2025, at 6.30 pm (or at 6.45 pm with those present constituting the quorum), to transact the following business:

Agenda

1. Welcome by the Secretary and presentation of minutes of 25th AGM held on 18th October 2024.

2. To approve and pass the minutes of the 25th AGM held on 18th  Oct, 2024.

3. President to present  the Annual Report of the Executive Committee for the year ended 31.03.2025

4. To approve and pass the Annual Report of the Executive Committee for the year ended on  31.03.2025

5. To approve and pass the Balance Sheets and the Income and Expenditure Accounts for the year ended  31.03.2025

6. To approve and pass the Budget estimates for the year 2025/26.

7. To elect/nominate members to the Executive Committee (EC), in place of the retiring members and to fill up the vacancies. There are 4 vacancies. So 4 are rto be elected

Please note that those who have been members for at least one year prior to the date of this AGM are eligible to stand for the election. 

8.  To appoint Auditors to hold office from the conclusion of this meeting till the conclusion of the next Annual General Body Meeting

NOTES  in  respect  of  the  AGM :

System  of  Election  :

Elections are on the basis of blocks of academic year of the Alma Mater (w.r.t. Year of Passing  the last two digits of your membership NOT) as follows :

Latest  Block 2020 to 2024 

2nd Latest Block 2015 to 2019

3rd Latest Block 2010 to 2014

4th Latest Block 2000 to 2009 

5th Latest Block 1990 to 1999   

6th Latest Block 1980 to 1989

7th Latest Block 1970 to 1979

8th Latest Block 1960 to 1969 

and so on.

Candidates for election can be from any of the above blocks.

Eligible members shall vote for candidates by indicating their order of preference serially, from first to last.

The preferences shall be tabulated candidate wise and selection to the EC shall be made on the higher number of preferences received.

No block shall have more than three representatives on the EC.

Each block shall be represented equally on the EC as far as possible.  For this candidates with lower number of preferences will be eliminated.

A new member will get preference if he has polled at least 90% of the preferences received by an old EC member, of that block.

In case the members standing for elections are not more than the vacancies for election, all members will be deemed elected, and the vacancies, if any, shall be filled by the EC by nominating members. 

Members intending to stand for elections should submit their names, duly proposed and signed by at least five other members eligible to vote, along with details of address, membership no. and the year of passing (please attach a photocopy of the candidates VOBA membership card), of the Candidate and the Proposers in a sealed envelope addressed to the President  Mr Shabbir Poonawala , M - 9890786097, M- 9823124644 or to the Secretary Mr.Thanmal Solanki ,  M - 9822631795, at least seven days before the date of the AGM (i.e. 15/11/2025 uptill 4 pm). 

The last date for withdrawal of nomination is 16th Nov 2025 before 6 pm.  The list of eligible candidates will be available with the VOBA. Secretary on 16th Nov 2025. 

A copy of the draft application for standing for election is available on the website or can be collected from the VOBA Secretary.

A request for any other matter to be taken up at the meeting has to be submitted in writing at least seven days before the AGM (i.e. 15th Nov 2025 )

Please bring along your membership cards to facilitate the smooth conduct of the voting. 

If your VOBA card does not have your photo, please bring any of your photo ID.

The Annual Report and Accounts will be available at the venue to those attending the AGM.
