  1. Next Meeting:  Monday, January 5th
 
The consensus today was to cancel next week’s meeting.  We do not have a meeting scheduled for the week after that.  So, our next meeting will be on Monday, January 5th!  See you in 2015!
 
  1. Club Officers – Looking to Establish New Executive Team in January
 
Charles is still our official Club President, and Rand has been Acting as our de facto Club President over the last few months.  But both Charles and Rand have found work that takes them away from downtown.  That potentially leaves only John, Tom H. and myself on the executive team.  And there is a possibility the 3 of us may end up switching roles in some way.  So we have lots of opportunities to participate in leadership roles for the Club.
 
I encourage everyone to take a look at Club Officer roles, and give some consideration to what role might be of interest to you.  Some of you discussed possibilities before or after today’s meeting.  These are great developmental opportunities.  And especially note that no one is expected to be superhuman and do everything in a role’s description to perfection.  And we surely are not limited to only what is included in the short descriptions found below.  We hope to make nominations and selections sometime in January.

Club Officers
 
President      
As president, you provide the leadership and guidance the club needs to meet its standards and to become a Distinguished Club.  You are responsible for providing the supportive club environment members need to fulfill their self-development goals, for making sure that members benefit from the Toastmasters educational program, and that the club recruits new members and retains current ones.
  • Attend district-sponsored club officer training.  Schedule and chair regular executive committee meetings.
  • Oversee plan to achieve Distinguished Club Program goals and ensure club is Distinguished.
  • Encourage communication and leadership development by promoting CC, AC, CL and AL awards.
  • Ensure club has an ongoing membership-building program.
 
Vice-President Education       
As vice president education, you are responsible for providing and maintaining the positive environment and the programs through which members can learn and grow. If you do your job well, your club will have satisfied members and will continue to grow. Your efforts also will help the club become a Distinguished Club, which should be an annual goal.
  • Attend district-sponsored club officer training.  Attend club executive committee meetings.
  • Promote participation in the educational program.
  • Orient new members to the Toastmasters program, including assigning a mentor.
  • Initial Speakers’ Project Completion Records and ensure eligible members fill out their award applications.
 
Vice-President Membership      
As vice president membership, you – with your membership committee – are responsible for building membership and ensuring a strong membership base by satisfying the needs of all members. Your job is vital to the growth and success of the club.
  • Attend district-sponsored club officer training.  Attend club executive committee meetings.
  • Conduct ongoing membership building programs and efforts.
  • Follow up on and keep track of guests, new members and members not attending meetings.
  • Speak with fellow members to determine if their needs are being met.
 
Vice-President for Public Relations    
As the vice president public relations, you are in charge of the promotional activities for your club.
  • Attend district sponsored club officer training.  Attend club executive committee meetings.
  • Promote the club to local media.
  • Produce and distribute a club newsletter at least monthly, and/or maintain a club Web site.
  • Promote membership programs.
 
Secretary      
As secretary, you are responsible for keeping clear and accurate records of club business, including membership records and correspondence with Toastmasters International’s World Headquarters and others.
  • Attend district sponsored club officer training.  Attend club executive committee meetings.
  • Maintain accurate membership roster and give it to treasurer to submit with dues.
  • Submit new club officer list to World Headquarters within 10 days after elections via Web site or mail.
  • Handle general club correspondence and club files.
 
Treasurer      
As treasurer, you are responsible for keeping clear and accurate financial records of club business and for seeing that the club remains financially stable.
  • Prepare and send dues statements by August 15/February 15.
  • Collect and pay dues to World Headquarters by October 1 and April 1, and submit new member applications.
  • Pay bills as due.  Keep records of all financial transactions.
  • Attend club executive committee meetings.  Attend district-sponsored club officer training.
 
Sergeant at Arms
As the sergeant at arms, you are responsible for maintaining club properties, arranging the meeting room and welcoming members and guests at each meeting.
  • Attend district-sponsored club officer training.
  • Schedule the meeting location.  Collect ballots and tally votes for awards.
  • Maintain club equipment and check after every meeting to ensure adequate supplies are available.
  • Arrange the room and equipment at least 10 minutes before the meeting begins.

I’ve lost track of who is scheduled for today.  I was thinking Tom Heidman was the Toastmaster, and I usually bring agendas to the meeting for him.  And you are apparently doing Table Topics.

 

If anyone has the schedule available, so I can prepare an agenda --- please let me know!

 

Tom and I did not decide on a meeting theme, but New Year’s Resolutions is the logical topic for the new year.  Let’s go with that one.  See you at Noon.

It might be easiest if you unsubscribe from the group using the unsubscribe link at the bottom of the original email. Jeremy Peyer is currently the site owner, although I’m not sure he is a part of the club any longer and I’m not sure how a non-owner can unsubscribe someone from the group unless they manually do it themselves either by using the link or loggin into Google Groups.
