Buildium Print/Mail Check Option

I'm currently still using Promas. I have my entire operation set up now where I can do everything/anything from anywhere except the printing of checks. I still have to go into my office to do that to pay invoices.

Who uses Buildium's check printing/mailing feature and can comment on it, good or bad? How does it work for payments, such as utility or HOA payments, where you might have a payment slip that would normally go into the envelope with the check?

Not that this alone would cause me to leave Promas, but it would be a massive "Hmmm".

I've been using the Buildium check printing service for a couple of years now.  I'm super pleased with it. I've not had a single problem with any vendor when sending a check without a payment slip. When Buildium prints the check, it looks the same as it would if I had printed it in my office. The single check still has the stub at the bottom with the details.  So a vendor with multiple invoices would see the property name, reference number, and any (brief) details typed for that invoice. I'm not sending any monthly HOA dues, but I do have a couple of semi-annual and annual bills that I pay. No issues there, either.

I use Buildium check printing on a limited basis, and can echo Eric’s comments - works well. I only use it for a small HOA that I manage; still using other methods for the bulk of my management business. But within my use case, I have not had any issues or problems with vendors. There are some smaller ones that one would expect to send in a stub, but I just put in the appropriate info - account or invoice # - and have not had any issues with posting payments.

Does your bank not offer a bill pay service? That’s my virtual office solve. I record bills in Buildium then actually use the bank to cut the check. It’s a bit of double-entry (re-typing invoice #s in to the bank bill pay software so they appear on the check stub for the vendor) but not too arduous. I’ve thought about switching to Buildium’s check printing to avoid that, but haven’t made the switch yet.

I have been using the check printing service for a couple of years now.  The checks come from a service center in Arizona and sometimes they take a long time in the mail, but that applies to anything that is mailed.  Also, the memo section is actually on the right side of the check under the amount so I have had a couple of vendors, such as one HOA, one mortgage servicing company and Texas Gas Service not be able to locate the info and called, but they all seem to have it figured out in their system now, so I highly recommend it.  Makes life so easy.

We just put the account number on the check.  Slips are history, have not sent one in for years.

Same to everything here. We just record the account number and/or invoice number in the bill/check in Buildium, and it's included with the printed check. We have used Buildium's check printing on a massive scale for almost 5 years now with essentially no issues whatsoever. It's by a far a strong point of their service offering. In fact it's so good they should consider offering it as an independent product, as I'm unaware of any other company that even offers the abilities they have for any generic business.

I echo what everyone else has said.  I have not written a check in a few years.  Massive time saver.  I love the remote check printing.

A tenant once threatened a lawsuit due to no receiving their security deposit refund check.  I requested, through Buildium, a copy of the physical check, and the remote check printer was able to provide it.  I forwarded the check copy to the tenant, and the lawsuit talk stopped.  That was ten months ago, and I still have not heard from the tenants.

Thanks for all the great feedback. Another Q .. especially for anyone using Planet Synergy to post invoices for you.

Do you upload all invoices into the system and is it easy to scan/review an invoice entered by staff or a VA prior to printing these checks?

if anyone is in San Diego at the NARPM convention now and would give me the nickel tour in your actual system, call me 512-784-7574m. This ability to print checks remotely is extremely intriguing to me and could close the "final mile" issue I have of having to physically be present to print, match, sign and mail checks for invoices that are paid.

We just email our invoices to Planet Synergy so they can enter and upload the invoices.  Once that is done my assistant reviews for accuracy and then I print.  Very easy!

One issue I have Steve is that Buildium doesn't offer the ability to put all tenants names on the security deposit refund check, so I still need to do those by hand when there are multiple tenants.

First off, good to have you in this group, Steve! I've enjoyed hearing the point of view you've shared in podcast interviews and in Facebook groups.

I have to say that Buildium's remote check printing service has to be one of the most underrated add-ons I've seen. We didn't use it for years as I thought the additional cost was not worth it...couldn't have been more wrong. I have a remote bookkeeper who is now able to process payment of every single bill we get by either remote check, epay or payment through the vendor's website. All of these are completely paperless and extremely efficient. I've demo'd a number of Buildium's competitors recently (Propertyware, Rent Manager, Resman, Appfolio) and I don't think any of them offered this type of service.

I use it a lot.  Other than it takes a few days to get from Arizona, it's pretty slick.
