Sub: Procedure for enrollment for Jan-May 2019 semester – Reg.

The following methodology will be adopted for the enrollment for Jan-May 2019 Semester through workflow.
There is no need for the students/scholars to show the proof of payment of
Institute fee and hostel fee.
Students / Scholars must report on the enrollment date (16.01.2019) to HoD’s office and produce the ID card to the staff of HoD’s office who will record the enrolment
through workflow.
Late Enrollment:
- Students who fail to enroll in the Department on the enrollment date (16.01.2019) will have to pay late enrollment fee of Rs.2500/-. Late enrolment will be permitted
from 17.01.2019 to 21.01.2019 at the Academic Section with approval of Dean (Academic Courses).
- The courses registered by those students who had not enrolled as on 22.01.2019 will be cancelled and their name will be removed from the roll list.
Students who have not enrolled will not get Hostel Accommodation.

HOD'S OFFICE STAFF'S ROLE:
- HoD will depute two staff members (for departments having large number of students) and one staff (in case of departments with smaller number of students) exclusively
for enrollment of students on the enrollment date (16.01.19).
- The workflow team has trained HoD's office staff and they have access to the Workflow through their user ID and password. (If there has been any difficulties please
contact workflow help desk in advance and get the clarification)
- The staff should check the identity of the student. If the identity is established then the same is to be recorded in the workflow by clicking a button against each student's
name
WORKFLOW TEAM’S ROLE:
- Facilitates online enrolment through workflow on the respective enrollment date
16.01.2019 (one day only) at HoD’s office.
- To enable online enrollment by Academic section from
17.01.2019 to 21.01.2019
- To forward following lists to Academic section on 22.01.2019
- Enrolled (Full List)
- Not enrolled (Full List)
- Make this data viewable by academic section, library, hostels and departments for suitable action/follow up.

ACADEMIC SECTIONS’ ROLE:
- To do online late enrollment
from 17.01.2019 to 21.01.2019 for students for whom Dean has approved.
- To remove registration of courses of defaulters (names will not appear in the roll list) for the semester Jan-May 2019 and inform the students, HoD and Faculty Advisor

HOSTEL MANAGEMENT’S ROLE:
- Through workflow get the details of residents who have enrolled and who have not
- Upload the data on those who paid fee into workflow periodically (daily)
- Hostel Management to take suitable action on those who have enrolled but not paid the hostel dues
- Hostel management to take suitable action on those who have not enrolled

LIBRARY: Will stop borrowing facility if the overdue
charges exceed Rs.200.
