Hey all,
I like Erika's suggestion of limiting the amount of free booze, so
that we can keep the flow of people in and out going. Another thought,
if we're going to do an announcement, raffle, or some activity during
the event, we can do it 2x or 3x, at some defined time. That way,
people will be encouraged to come in groups..

I second the google group thing, it should help out with keeping
everything organized instead of fishing around for old e-mails. When
I brought up the google doc thing last weekend that's actually what I
had been thinking of lol I just couldn't remember what it was at the
time.
Srav, I don't think anyone has gotten the password yet so you're not
out of the loop.
I agree with Connie that an overall headcount is a good idea before
deciding if we have room for +1. If we can't then we need to be clear
so that people don't send in payment for a +1. If we split the event
into two time slots then some people will end up missing others they
wanted to meet up with at the reunion. I think we should avoid
splitting it up, but I have no idea yet how to remedy the possibility
of over crowding other than hoping not everyone shows up on time and
that some people will leave early in groups. Unless we limit the
number of drinks per person since people might leave if they run up
their allotment of free booze :-P j/k
I'm not sure how many '04 classmates there are but I can think of
about 5 of the top of my head 3 of which I've seen who are members of
the group already. I don't think there are too many. Other than that
I noticed the group is at 214 members out of 439 invited via fb and I
searched earlier to see how many BHS '04 Alum there are on fb and it
came in at around 516. Out of a class of around 600 I think we've
done a pretty good job at reaching out to people, the rest depends on
how many people actually join the group and/or update their contact
info and if we can find the roughly 170 who are either not on facebook
or have not been sent a group invite yet.

I'd like to make 2 suggestions (feel free to comment):
(1) In the initial planning stages, how about we have only the alums
confirm their attendance. Once we have a more accurate headcount, we
will have a better idea on how many more we can accommodate.
(2) Since we might be restricted by venue space, we can try to split
the event into 2 times (such as 8-10pm or 10-12am) and have everyone
specify which time slot he/she plans on coming. We can sort of
decrease any possible crowding.
Regarding the 04 alum vs 04 class attendees issue, do we know roughly
how many there are of the latter? I'm guessing it would be difficult
to reach out to all of them.

UPDATE - I have also reached out to Union Bar and Maria S about PS
450 - thanks Srav! Union Bar says their max capacity is 325, which may
work presuming that not everyone comes at the same time. They do have
open bar/food packages and etc., so i will speak to them either later
this week or sometime next week to see what they can offer us. Maria S
has given me the contact info for PS 450, so I will email the event
coord. and see what they can do, although I suspect it may be pricey.
I may also look into The Hill New York - I know they do private
parties but I don't know if there is an open bar package available.
LASTLY (sorry about the verbose emails!), i have put ut a venue
plea via fb (god i love social networking!), and someone says they
know someone who owns a few bars/lounges in the city, so I'm going to
see if that is a connection I can use. From the way it sounds, the
person has a blog (

Anyways I noticed a few things which didn't cross our minds while
checking on the fb group. Two people posted they're concerned that
they didn't graduate from science, but both attended for quite a
while. How is that going to be handled? Is it going to be strictly
alumni, or former class of '04 student at some point? I also noticed
we didn't take into account if people will be able to bring along a +1
since sometimes spouses tag along to H.S. reunions etc. If we don't
specify people might end up sending in payment for two people when we
were only expecting payment for one. If this is the case it would
bump the head count up as well and should be taken into
consideration. Last I checked on fb 176 people have accepted the
group invite out of a total of 424 contacted.
That's about it for now. I sent a message with the invites I sent
out requesting for people to update their e-mails by sending it to a
committee member so I don't know if anyone has gotten anything, I
haven't so far. I think I'll go post it on the group wall since the e-
mail account is up there now.

I checked out the website, looks kind of fancy. They seemed to

I think the FB group is really taking off. Last night we had
like 81 members and this afternoon, it's almost doubled and there are
still about 300 people who haven't responded yet. Danielle already
sent out a message to members of the Bronx Science 2004 group so I
think we have most of our bases covered as far as trying to contact
people. Sidenote, Brittany- can you make me an admin when you get a
chance?

With that said, I have contacted 4 different venues so
far. I have definite prices from 2 of them, and am waiting to hear
back from the event coordinators for the other 2. It is slightly
difficult to get monetary figures, since we do not have a concrete
headcount, so I've been using "anywhere from 200-500 attendees" as my
ballpark figure for attendance. As previously discussed, the chances
that everyone will come at the same time are probably slim to none, so
that is something I am mentioning when the coordinators repsond "oh,
500...."
The four venues I have looked into are: Katwalk, Touch
(thanks Srav!), Boat Basin, and 230 5th (thanks Brittany!). From the
numbers I have so far, Katwalk seems like the most cost-efficient,
depending on the time we pick for Saturday; 230 5th will probably be
the most pricey (you know what i'm talking about Boriqua! haha). I
will bring all the papers and correspondence with me to our next
meeting, so we can all see what the best option is..
Lastly, since I think that we definitely need to see these
venues, i was wondering fi anyone would like to volunteer to join me
on site visits. I'm thinking of doing site visits once we have a venue
list narrowed down to a few venues that we think would be best (so
maybe sometime end of March to begining of April?). You don't need to
come visit every single one with me, but if I could get 1 or 2 people
to volunteer to go with me to each one, tha'd be nice, and that way, I
can sort of get a more general opinion on what would work best for our
class. Once I get some volunteers (HINT!), then we can work out site
visit times.
Ok guys, sorry for the super long update, but can't wait
to see everyone in a week or so! if you wanna call dibs on a site
visit, let me know!
