User vs Manual tasks

Hi,

Can someone pls advise what is the difference between identifying a
task as a 'user' task vs a 'manual' task. I have tasks which a user is
performing in a system but I do not know if they should be classed as
user tasks or not as the actions are manual.

Manual tasks are the more general case and can be anything done in a non-BPMS automated manner. User tasks have some additional semantics which allow the "performer" to be automatically assigned in some cases. What this is is an extension that allows BPMS's to support assignment of certain tasks to individuals based upon eligibility-criteria defined within the activity in combination with attributes defined externally in a user-identity repository. Think of the call-center case as an example of this where multiple individuals are pulling from a pool based on their skill-set.

Simply add MS-Excel as an system actor and the manual actions remain in the user's lane and the system responses go in the correct system actor lane.

On the same question of manual v/s user, could you help clarify which one is applicable in this example in step 3 : 1. start 2. review list of errors given in a system 3. prepare an excel sheet giving details to correct the errors (looking at required details from another system) 3. send info to someone else to correct the errors 4. stop
 
I am getting confused on the workflow aspect of user task. and hence if an activity is done outside the applications on which work is being done in a sequence of steps (in this case on excel) does it make it a manual task or because it uses software does it make it a user task...

Mridula,

This is an area that is a source of regular confusion. The way to think of this is that user tasks are those tasks which the Business Process Management System will assign to a particular resource.  In your case it doesn't sound like any of these steps are expecting the BPMS to determine and assign the tasks to a particular individual or role so all of these would be manual tasks according to the standard. Having said that, most people are not drawing BPMN diagrams to define an automated flow so it's pretty common for people to use the User task as a way of indicating that the task is being done using a system even though this is technically not the intent within the standard.
