Hi all,

Great and productive meeting last night! Please see notes from our meeting and the building meeting. Please let me know if there's anything to add!

Our next meeting will be Wednesday June 17th at 7:30 pm

Pre-building board meeting at 6pm
  • Attendees: Cory, Rachel, Eddie, Rosemarie, Danielle
  • 29B – interested in the board
    • We can appoint someone to the board since she’s filling for someone
    • Is she on the deed? Does it matter?
  • Finalized who will cover what during building meeting
  • Pool work cost (done)
    • Pump- $4,696.95, acid pump $949.49, tubing and probes - $1,988.08 = Total $7,634.52
    • Will have better maintenance throughout the season
    • Ready to open Saturday
  • Francesca
    • Inspection was done on Friday at 3pm
    • Francesca did not allow access
    • Next steps include sending out another notice and get in next week
  • Rec room ceiling
    • Working with resident (25A) to get her keys for access. Hoping to have them early next week
  • Concrete at main entrance
    • Additional quote
      • C&D Masonry $15,900
      • Do this before the temperature drops as winter concrete is much more expensive
    • Vuotto - $26,000
    • Finalize which company to go with? Go with C&D
      • Timing?
      • Entrance will have to close for a bit – will have to figure it out
      • Every other entrance has stairs
      • Bigger drywell that stores water before flooding – buys us time if there's severe weather
  • Balance billing for utilities 
    • Can do it with National Grid – most of it is the delivery and not the supply and can do balance billing only on one side. May not make sense to do
      • There have been persistent meter issues
      • Cory to look into this more as meter issues should be resolved before anything is done
      • Cory to look into other companies as well
    • PSEG – bills around $1,640 / $2,496 – would be about $1,900
      • Do it on PSEG
  • We won't post the wifi info in the laundry room. Could cause connectivity issues
    • Open app when you have good service, make sure Bluetooth is on and it will work on Bluetooth (shared with residents in meeting)
  • Send out pool rules and post them
  • Jennifer W brought up doing a garage sale and I explained we had talked about it and the logistics are difficult. Let's revisit because it seems there is interest (Kim was also interested).
    • Need a permit from the village and would need to be on property 
    • No parking
    • Can’t use building for commercial purposes
    • Wouldn't want to let people into the building
    • If people want to do it on their own, advise them to use FB marketplace, etc.
  • Original loan that only Kathleen is on - me, Danielle and Eddie have all said we could replace her on the loan, so we should formalize that.
    • Capital One is being difficult to find info on it
    • Kathleen is on the loan and Cory is not
    • Kathleen is going to have to add Cory and one of us to the loan
    • Hope to have a plan and settled next week
  • Document parking spot changes – who’s using what spot?
    • At the resident’s discretion
    • People are allowed to switch, but spaces are deeded to apartments

Building Meeting Notes
  • Danielle covered: Current open board seat (Kathleen replacement)
    • Please contact CPA if there’s interest
  • Danielle covered:  Board seats that will be open in October (Danielle and Eddie)
    • Please contact CPA if there’s interest
  • Danielle covered:  If you would like to be permanently included on exterminator list, let CPA know
    • They come monthly - first Wednesday of every month
    • Are the chemicals safe for pets? Ask the tech when they’re there
      • Can we get this information and share with residents on exactly what's used, etc.?
      • Also, what are the alternatives if people don't want any spray?
    • 2A has mice
      • For mice, we brought in a different exterminator (wildlife plus traditional). They went into multiple units that we knew were having issues. Additionally, they went into most of the vacant units (no sign of mice)
      • Call CPA if you’re having issues
  • Danielle covered: Laundry room updates
    • Tiles were shot and our contract was up
    • Every quote was very similar
    • All apps and all kiosks – no more laundry cards
    • Open app when you have good service, make sure Bluetooth is on and it will work on Bluetooth
      • Camera app with QR code can be used
    • Card balance transfer
      • Form – Cory to send out again
    • Time on dryer
      • Default to 30 min – too long for some
      • Can some dryers have different default times? Cory to revisit with the laundry company
    • Should we send out a survey?
    • Once a year the vents will be cleaned, Gil maintains them
  • Rachel covered: Back area work
    • Primer, urethane coating with grit
    • Kathleen wants the name of the material
  • Rachel covered: Front ramp – warranty was about 1 year for old ramp, so that's out of warranty
    • Pumps next to the entrance
    • We're expanding the dry well that collects water. This will prevent flooding.
    • C&D for $15,900, payment coming out of reserves
  • Rachel covered: Pool opening and info
    • Pool is opening on Saturday
    • Reviewed pool rules and noted that they will be posted
    • Reviewed what was replaced
    • New pool company
    • Expect better maintenance – new guys to open every day and check levels
  • Rachel covered: Recap of what was done with the assessment
    • Roof, pointing / waterproofing, plumbing (heat exchange), painting
  • Rachel covered: Financials
    • Noted that the new phase of assessment amounts starting in July may be a little lower than originally communicated. We will send communications as soon as we have it.
    • We are in a decent financial position ($40K surplus from 2025 plus other reserve in bank), and to help maintain that, will be raising common charges next year
      • For example, we are able to do the front ramp from our reserves and do not have to do an assessment.
  • Eddie covered: Moving in / moving out / construction guidelines
    • Hours, questions, permits, etc.
    • Noted that this information is in the buyer packets / house rules
    • We should review the house rules and send them out to all residents so they have them handy
    • Called out that if work is deliveries / moving / work is done on the weekend, must give $100 to Gil
      • Kathleen asked: If multiple people are doing work on the weekend, do they all have to give $100 to Gil? Should confirm what the rule is. This hasn't happened yet, but it's good to be prepared.
  • Eddie covered: Garbage and bulk pick up (residents must call Lynbrook to arrange or will be subject to fines)
  • Question about parking spots
    • Parking spots are deeded to the apartments
    • We’re not the authority but we can help facilitate
      • For example, if you are looking for another spot, you can reach out to CPA and they can send out an email to building to see if anyone can help
  • Question about elevator pads. Residents noted that they are gross and smell bad, can we clean them or get new ones?
  • Deliveries:
    • Amazon – they have a code to get into the building
    • UPS / FedEx – different
      • Either leave it in the lobby or have to let them in
  • Upcoming: Summer party upcoming and bingo night
  • Terrace
    • Denise’s is peeling
    • Put in a work order / talk to CPA about it
    • Take pics and see what needs to be done
    • Is this the building's responsibility? Cory to look into it
  • In the garage, only metal carts can be in the spot
    • Village of Lynbrook inspection
  • Water hose in the garage was broken
    • Gil to replace it
    • Have to use muscle to close spout
  • Motorcycle in spot 58
    • The motorcycle has a cover – why is that allowed?
    • The motorcycle is using an extension cord
      • Cory to talk to Gil about it to see if it should be there
    • Confirm if a car + bike in one spot is ok?
  • If a resident gets locked out, they should call CPA and then they will call one of us to go get the key
  • Kathleen noted that she notices people have dogs visiting and using the green space by the pool 
  • Asbestos removal from inside walls - who is responsible for that? Cory to ask the lawyers.
  • Camera in garage - blind spot near garbage area and Ro's spot
    • Ro's cart was taken
  • Fran - suspected laundry business
    • Kathleen took a picture of someone picking up laundry
    • Review camera footage around that time

I hope everyone is enjoying the long weekend despite the weather we've had.

I've finally had a minute to get back to some of my emails, so apologies for the delay in responding. (Sorry this is a long email 🙃)

Thanks for everyone's help during the meeting. I think it went well too. Hopefully the vibes will be consistent like that going forward!

Cory - Has anyone else replied expressing interest in being on the board aside from Rosemarie in 14A? I think we should do a quick little meeting with her this week just to give her a run down of what's expected of being on the board. I don't think all of us need to be present since it will be informal - maybe 2 of us at the minimum. I'm available this week to meet with her on Wednesday or Friday anytime from 6pm - 9pm. Board members, please let me know if you are available for this too.

Cory - Do we have an update on the broken window by the front entrance? I thought the guy was coming the other week but it still looks like it's taped up. So just curious on the status of it's repair. Apologies if something was sent and I've missed it. 

Were you able to contact CSC about making the dryers (at least 2 of them) back to the old times? If it cannot be split half and half with the old times and new times, we should send out a survey asking residents what the preference is and ultimately go with the majority.

Do we have dates confirmed for the concrete at main entrance? We should make sure that Eddie and others who need access to the main entrance have alternative access before anything is scheduled.

Potential Bingo night dates:
July 9th (Thursday)
July 16th (Thursday)
July 22nd (Wednesday)

Board Members - Please let me know which dates work best and we can get some flyers up for them.

I was also thinking to start doing something with the library this year. We've been talking for a while now on updating it to be a more utilized space. There are so many books down there, I think we should maybe donate about half and keep the other half for folks that may want to read them. Perhaps we pick a day or evening to spend an hour or 2 going through what's there and splitting them into keep/donate piles. 

We have roughly $300 from all the events we've held that we can use towards newer items for that room so we do not need to dip into our reserve money for it to start. We can look into getting a projector for movies nights & even some games like a dart board.

Any thoughts on this? Anyone have other ideas or think we should not donate some of the books from that room?

I was also looking at enclosed bulletin boards. This one on amazon is only $80 and is about the same dimensions as the one by the mailboxes.  Cory, how do we go about purchasing things for the building? Should I purchase it and just get a check from you, like the summer party, or would you guys purchase for us with our funds?

I'm free Friday evening this week, but it seems like you all have it covered to talk to Rosemarie.

Summer Party: I'm available Saturday July 11th and maybe Saturday August 15th.

Bingo: I'm available on all of those dates. Though, I don't know that we should do Bingo and Summer Party too close together.

For the library, I think it's a great idea to go through the books and get rid of some and I can definitely help prune the collection. I can also go to five below or something and get games / puzzles to keep in there. We should get a folding table and some folding chairs for the room. Maybe start with small games and advertise it as a community room and see if people use it before investing in more things.

Rosemarie is the only one who expressed interest in being on the board. She asked if we wanted a bio or anything written up.  

 If you would like me to attend, I can make myself available but I feel that this is more of a decision that you guys should make internally. Let me know and I could be available Wednesday night at 8pm if you'd like me there.

There was a question regarding if 16B's wife/partner can be on the board. The way I interpret the bylaws is that any board members would have to be a deeded owner. 

I brought in Monarch Glass from Oceanside to measure the window. They are making the glass and they will come to install it by the end of this week. I have companies in the city that will come within a day or two. I have used 3 different companies locally and they all seem to have a 2 week lead time though. 

I emailed CSC and I am waiting to hear back. 

We do not have the ramp scheduled yet, but will speak to Chris from C&D. I am going to make sure we have at least 2 weeks lead time. 

I can either purchase that bulletin board directly or reimburse you for it. No issues either way.

I ran into Rosemarie in the hallway this evening and ended up confirming a meet up time with her for tomorrow, Wednesday at 7pm in the Rec room. Cory, I don't think we need CPA present. It will be informal so we can just go over expectations. I figured, the items to go over with her are the following. (Please let me know if there is anything I've missed and who ever is available to join, would be great.) 
  • go over the positions and who is currently in what. I'd recommend she be the floater and maybe push Ro up from the floater role to VP, then in October when we do elections, we can reassign titles then and make them more formal. (Does that work for everyone?)
  • what's expected: be active and responsive to emails, texts, monthly meetings, and help with events 
  • give her copies of the keys to the office and rec room (I'm assuming these are on the desk in the office from Kathleen?)
  • show her where the safe is with the spare keys in case someone is locked out
  • if anyone comes to her with any building questions/complaints, she should direct them to CPA. Depending on the situation, possibly text us so we're all in the know.

Let's go with these dates for the events. I'll work on some flyers this weekend:
Bingo Night: July 9th
Summer Party: August 15th


For the library, I've asked Gil to save some clean boxes and leave them in the library so we can package up the books we want to donate. There are some games in the rec room closet. They were some things I had for when my nieces came over but then outgrew. I think if anyone wants to contribute any games to the room, please feel free.

We may have a folding table in the rec room that might be doable for the library/community room. I can check with Gil for that too. I might have some time on Sunday to go down there to start looking through what's all there if anyone wanted to join. Time would be TBD but we can send a text over the weekend.

Cory, thanks for the updates. Please keep us posted when you hear back from those different vendors. I'll probably just go ahead and purchase the bulletin board and send you a copy of the receipt.
