Hi all,

Here are the notes from yesterday's board meeting. Please let me know if there's anything I missed!
  • Attendees: Cory, Robin, Rachel, Eddie, Danielle, Rosemarie
  • Kathleen Affissio tendered her resignation and the board accepted it
    • Danielle is acting president
    • CPA to send note out to everyone that Kathleen is no longer on the board (done)
  • Danielle updated group emails to remove Kathleen
  • Cory changed security cameras password
  • Danielle created new text thread
  • Cory to look into what we need to do to take Kathleen off financial pieces (loan, accounts, etc.)
  • Which board seats are up this year?
    • VP (Danielle) and Treasurer (Eddie)
    • We determine who fills what role on the board once the board is elected
  • Laundry room price updates
    • Process was confusing
    • Updated payment process
      • Dryer $2.00 – first 30 min. This is up 25 cents (from $1.75)
      • Can also add 25 cents for additional 5 minutes
    • Washing machine remains the same price
    • Refunds?
      • If there’s an issue, can request a refund through app
    • Machine: Credit Card 25 cents charged if under $10 – Cory to get answers on that
    • Send out a one pager with explanation and instructions to residents and post it in the laundry room
  • Francesca inspection, lien status, and follow up letter
    • Inspection
      • Cory / Rachel did an inspection
      • Leaking bathroom sink, multiple dead mice, mouse droppings
      • Radiator – wrapped in tissue paper – fire hazard
      • King Kullen bags filled with seltzer cans
      • Reviewed letter 
      • Re-inspection on 4/27. If issues outlined are not resolved, there will be fines
    • Going back to court is not advisable
    • Lien – paid up all common charges
      • Amended to file for legal fees
  • Mice issue:
    • Getting a team in to close holes and assess issue on Saturday for multiple residents
    • Tracking powder is last resort
  • 570 bulk garbage – there were times where there was a lot of bulk garbage in the back, but that is the place it goes
  • Rec room ceiling
    • Haven’t done anything with it
    • Carol M is behind 3 months
    • Cory to call her and talk to Gil about getting it done
    • Goal to do it in May
  • Carol Matos – June 5th renting rec room for a baby shower
    • Want to have the ceiling done before event
  • Concrete at main entrance
    • Whole ramp needs to be done
    • Dry well is currently undersized
    • Boccia: tear up whole thing and add zipper drain that goes into the dry well
      • $23,625
      • Talk to them about putting in a bigger drywell
    • Vuotto (Carlo):
      • $26,750
      • Put in larger dry well
    • Should do this ASAP, but absolutely before winter
    • Do this out of our reserve
    • Cory to get one more quote
  • Landing in the back work
    • Boccia quote: $2K
    • Johnny’s eco ways quote: $2,300
      • Could do it next week
      • Go with them
  • Balance billing for utilities – Cory to look into it
    • Cory to talk to National Grid
    • PSEG is consistent
    • Liberty water doesn’t do balance billing
  • Pool
    • American Pool – want $10K for summer
      • Opening, closing, coming once a week
      • John Stewart – contact
      • Replacing tubing, sensors, etc.
    • Pool permit
      • Goal to get it open Friday 5/15, so that it can be open for bathers Friday of Memorial Day (5/22)
    • $20 / hour, 2 hours a day to open / close daily
      • See if there’s some other small jobs for them to do
  • Lawn care
    • Wednesday is the set day of the week that they come
    • Hole was filled in the back
      • Broken pipe coming out from building – talk to Jorge about doing something to the pipe
  • No feedback from the newsletter
  • Semiannual meeting agenda
    • Wednesday May 20th at 7pm
    • Board will come down at 6pm
    • CPA to slide notices under the doors as well
    • Each board member should give updates on different things
      • If you have a preference on which item, please let us know
      • Name tags (Rachel will get them)
    • Agenda:
      • Bring up board seats will be open in October in addition to current open board seat
      • If you would like to be permanently included on exterminator list, let CPA know
      • Update about work being done in the building
        • Laundry room
        • Front ramp and back landing entrance
        • Recap of what was done with the assessment (roof, painting, 
        • Annual carpet cleaning
      • Pool opening and info
      • Moving in / moving out / construction guidelines
        • Hours, questions, permits, etc.
      • Garbage and bulk pick up (call Lynbrook to arrange)
      • Winter review: snow, parking spots clearing
  • Carpet cleaning
    • $2,300 – do it in the next two weeks
  • Gil
    • Upset about the letter we gave him. Lina was also upset about the letter
    • Not happy with the way Kathleen talks to him
    • Lost his health insurance
      • Old board / management company used to provide insurance
      • Instead of a raise, split it with him – Add $75 a week ($300 / mo)
        • Currently making $625 / week plus cell phone reimbursement
  • Kathleen items - she needs to coordinate how to get the items
    • Computer and printer in the rec room
    • Items in the office (personal items and decorations)
  • Google drive folder access from Cory (viewer only)
    • Or put it in the portal
  • Brainstorm people who we think would be interested in being on the board and would be a good fit. Also, talk to people about joining the board
