CCTBL Board of Directors Meeting

September 9, 2013

AGENDA

 

1.  Review actions from last meeting

 

·        Susan to send press release to:  CCTBL, Facebook page, Jana Lomax and Nancy Falk at St. Joe’s, LIVESTRONG HQ – Bryan Myers and Doug Friche

·        Steve requested  copies of our tax returns from previous years.   Rich will provide these

·        Operation Christmas Tree 2013- Start planning, call for volunteers, logistics, work with cancer centers to get recipients.  Need someone to own this activity.

·        Follow up on Camp Kesem participation – George

·        George will clarify the exact number of members that we now have and send the board an e-mail with this information. 

·        George is following up on Flatirons Solutions corporate donation.

·        Austin LIVESTRONG Challenge – is anybody from the team going?

·        Breckenridge ride coming up.

 

 

2.  Survey Monkey or Doodle Poll:  how do we get more involvement in team activities?  - George

 

3.  Status of Volunteering Activities – Steve, Susan, and George

What has been done to date?

Should we get more people involved?

 

 

4.  First Ascent Ride

Ride Director

·        No information from Chandler as yet

·        What is the cost and value added?  How would we pay for this?

·        Rich is working with WRC to get more support for our ride

·        How much and what kind of support from Livestrong? – Need a designated point person here who will represent the entire team. 

·        Rich would consider Ride Director role again assuming we get good support from our Team, RTR, Livestrong and WRC

 

Marketing

·        All agreed from our last meeting that this is where we need to speed our money

·        Rich believes we will get additional support from WRC, RTR and the Pro Challenge

·        Need support from LIVESTRONG.

·        A good plan well executed will produce an increase in ridership

 

Fund Raising

·        Optimum amount of fund raising needs to be set – too low and we don’t get enough money, too high and we lose riders.

·        Rides where this amount is high or been raised have seen a decline in riders

·        The Iron Horse Classic follows our ride and the financial requirements could be hard on our Team members

 

5.  Corporate Sponsorship

·        Rich is willing to work on this as soon as he gets back from Italy - corporate support would be for our team and the First Ascent ride. 

·        Perhaps we could get one sponsor to contribute $25K to $50K

·        Rich thinks that  setting a target of $100K annually for Livestrong is a good goal.  Rich:  “I feel like the Board is moving in this direction - at least doing more financially for Livestrong and cancer organizations.  I don't think this negates or diminishes the other things we want to do.

·        The Board needs to be behind this as well as our membership.  All we have to do is leverage ideas and contacts.”

 

6.  Team Membership

·        Team membership director should be much more than an accounting function (Rich)

·        We need to call members who haven't paid and encourage them - what happened to past members?

·        How do we increase membership?

·        Send out Survey Monkey or Doodle Poll asking for team reactions and reasons they don’t participate more (George)

·        Brainstorm creative ideas for increasing membership (team)

 

7.  WRC Relationship – Rich

 

Rich has had two discussions with WRC about our Team relationship and taking it to the next level.  He says, “I know some of you have had some concerns about WRC and how we work with them but I am potentially proposing an enhanced relationship that could benefit us, Livestrong, the local cancer community, our First Ascent Ride and WRC.  Currently, we are the only Team they sponsor and planned to sponsor for the future.”
