Board,

I met with Alexis Nichols today as a potential candidate for our Ride Director.  She was recommended by Chandler.  Here are my thoughts on her.

1. She is a young energetic person with a great presence.
2. She has great experience and put on the Pro Challenge Race experience two years ago with a lead time of only two months. She does this work full time as a contractor.
3.  She knows Chandler Smith, Ron Kiefel, the key members of the Pro Challenge. We can get recommendations from them.
4.  She is very interested in doing our Ride and thinks our current positioning is very good.
5.  She thinks some level of support from Livestrong would be good.
6.  She has a degree in marketing/hospitality - not sure of the exact title though.
7.  She is very strong with social media.

Overall I think she would be great.  She will get back to us in a  with her thoughts on cost.  I said I would help her, the level to be determined.  I also, explained our financial situation and we will have to work through that.

Wow, Rich she sounds great. I guess we will have to wait for her costs and see if we have to get a few other bids if they are high.

Agreed. Sounds like a good pedigree. It will be interesting to see how we can work out a reasonable business model.

Did you get a cost range from your potential interested party? I talked to LIVESTRONG and they said the cost can be $20,000 - $30,000+ or more depending on what we want them to do.

 

I think we need to get the RFP finalized. And begin plugging this into the model to get to a go/no go decision asap.  We won’t be able to get a commitment from LIVESTRONG without a viable model.  I know we talked about meeting on September 16th to keep things moving, but I think it stalled out.

 

Here are the services I think we are currently trying to outsource:

 

1.      Act as CCTBL’s Agent/Fiduciary at all times as it relates to the following services for the 1st Ascent Ride.

2.      Work with CCTBL Ride Committee, LIVESTRONG, and RTR to organize and execute 1st Ascent Ride to RTR standards including but not limited to:

 

a.      Procure all necessary permits:

                                                    i.     Jefferson County

                                                   ii.     City of Golden

                                                  iii.     City of Golden Liquor

                                                  iv.     City of Golden Park & Rec – Lyons Park

b.      Solicit, market, corporate sponsorship and partnerships

c.      Solicit Insurance quotes and make a recommendation to CCTBL for award of contract

d.      Solicit quotes for all required barricades, signage, public notification, and beer garden barricades from Traffic Control companies. Negotiate and make recommendation to CCTBL for award.  Work with selected company to develop Traffic Control plan acceptable to applicable jurisdictions.  Work with jurisdictions to finalize plan.

e.      Develop Marketing collateral and distribute to local businesses and communities. (includes ride maps, banners, flyers, etc.)

f.       Work with Jefferson County and Colorado State Patrol to provide motorcycle escorts and traffic control services.  Meet with law enforcement personnel, solicit quotes, and deliver to CCTBL Ride Committee.

g.      Solicit quotes for Portable Restroom vendors, negotiate, and make recommendation for award to CCTBL Ride Committee.

h.      Work with RTR to organize all Aid Station equipment and ride support equipment.

i.       Organize Truck rental to pickup RTR equipment (week prior to) and Ride day.

j.       Meet with ride start finish venue owner and negotiate terms of rental/permit (e.g. Golden High School, Colorado School of Mines, Golden Park and Recreation, etc)

k.      Solicit quotes from DJ, negotiate, and make recommendation for award to Ride Committee.

l.       Solicit food vendor quotes, negotiate, and make recommendation for award to Ride Committee.

m.    Work with Wheat Ridge Cyclery, LIVESTRONG, and corporate sponsors on goodie bags.

n.      Incentive compensation provisions will be added to consultant agreement to ensure net revenues are maximized.

 

For the purpose of this RFP, assume that the following services will be performed by CCTBL, Ride the Rockies, or LIVESTRONG:

 

1.      Ride informational website and administration

2.      Registration website

3.      Individual participant fundraising website setup and administration

4.      Day of Registration

5.      Email blast marketing

6.      Beer garden liquor procurement

 

 

Once we have a clue what the above services would cost, I think we can get to the go/no go decision quickly.  Let me know what you all think and what might need to added to the above.

I forgot to give you guys an update on my conversation with LIVESTRONG a couple weeks ago.  We discussed the Ride director scope and costs and I agreed to get Colleen a list of tasks we planned on outsourcing and she was going to give me an estimated cost since she does this stuff all the time.

 

I was waiting for our draft RFP, but I just through the attached together based on our expenses from last year and sent it over to her for her assessment.

 

I suggest we get Rich’s and George’s potential RD’s ballpark cost on the list of RFP services and we can begin running the financial model what-ifs to see if this is viable from both CCTBL and LIVESTRONG in terms of ROI.

 

I’m traveling to Dallas the next two days and then to Chicago and am back in town next Tuesday.  I’ll have access to email so let me know if you get #s in the meantime.
