Cooked breakfast.

However a choice to have continental occasionally would be good as at previous venues, particularly in the summer.

Kind regards

Subject: Renewals & Venue Update - Please Read
Importance: High

Good Afternoon Chelmsford Central,

I hope you have all had a good week in business :)

I am writing this email to you all, to give you some updates on Renewals & also the venue. Please note the first part of this email (infact all of this email) is written with the very best intentions, and isn’t in any way meant to offend, but I need to be a little bit to the point in the first part.

RENEWALS

As everyone knows (or should know) you join BNI for 1 or 2 years at a time, during the latter part of that period, when your membership is due for renewal, you will be issued a renewal form. The forms are issued in person to members due for renewal in a timely manner (30 days prior to this usually) for a reason.

When you receive this renewal form, its is up to you to complete this and return it to the Secretary/Treasurer in plenty of time for this to be processed.

Please don’t ignore doing this. As your DC I am doing my upmost to ensure that all members are treated equally and looked after in the same manner. By not completing the form in time, and subsequently being issued another one at the point of renewal causes a lot of issues for the regional team, your fellow BNI chapter members & myself.

For Clarity please note:

  1. When your membership goes past its due date, and you haven’t (at least) completed the form which has to be sent to Regional Office to sort payment, you are no longer “officially" a member.
  2. Your fellow chapter members involved in the renewal process have to chase you, which adds to their workload, which isn’t fair. What some of you won’t see or know, is that both Regional Office & Myself are on their case to get the forms in & payment, because this has a knock on effect to your chapter traffic lights, and also your individual membership (as above)
  3. If you are more than 4 weeks overdue, you are not a “late” member, you automatically are dropped from the chapter palms data and not a member full stop. (Which then means to reinstate your membership you would need to pay your annual subscription AND the application fee again)

Point 3 here is key, as I know this has happened in the chapter over a number of years, to different members for one reason or another (all plausible I might add) As your DC I’ve gone above and beyond to support people to ensure they aren’t paying a rejoining fee! (And often been in the firing line with above as a result of it)

If your membership expires, BNI policy does state that you aren’t technically allowed back to the weekly meeting until you have paid your renewal, again not something that the chapter has heavily policed in the past, by trying to do the right thing by members. But, the point I want to get across is:

Please take ownership of your membership. You know in plenty of time you are due for renewal, and when you are given your form to renew, PLEASE act upon it when you get it.

If for any reason you aren’t getting notified of your renewal in plenty of time, I need to know this so we can sort that out.

VENUE

Nicholas Challen & I have been out venue hunting today for you. I am very pleased to report we are making some decent progress with the County Hotel. This at the moment is looking to be favourable.

It has plenty of onsite free parking and lots of room for growth!

We are negotiating the cost per head currently to fit with the current monthly meeting fee, but in order to fully sort this, I need to know the following:

  1. Who would like a cooked breakfast
  2. Who would like a continental

The venue has both options available, and we need to know asap to see if they can accommodate our weekly budget.

There are no minimum numbers at this venue, but the only caveat is that the room needs to be free by 8.30AM each week, and therefore breakfast would be at the end of the meeting in the main dining area. I feel this would be a huge benefit for the chapter, as it will encourage some 121’s over breakfast at the end.

As a final thought on this, I will be recommending to the committee, that regardless of what happens (whether this works out for us to move to or not) that we will increase the visitor meeting fee to £20. This is a direct result of the fact finding I have been doing in this process. Most venues now are charging minimum £14 per head for a cooked breakfast.

Please can you all reply to me individually with your thoughts on all of the above. I’ve got your back, each and every one of you, but I needed to address the issues with renewals as I know its been causing a lot of grief for the chapter.

Have a fab weekend, and I’ll see you all in 2 weeks.

Clair :)
