It is success of a chapter can be tied directly to its attendance practices. The Control letter (at the right time) acts as a reminder for the members, making them aware about their number of absences for the 6 month duration. Thus bringing in alertness and cautious actions regarding their attendance.
The control letters send to the member and Regional Office should contain the following information for better record keeping and being useful at the time of need:
(1) Name of the Member (to whom it is addressed)
(2) Title of the Letter / Subject (Control Letter no. and reason / Probation Letter (with reason)
[eg: Control letter no. 3 - second absentism]
[eg: Probation letter - Time Keeping]
(3) Date
(4) Number of Absences (2 Absences / 3 Absences / Open Classification) - mentioned in the body of the letter whereever required.
(5) Signature of the Vice President or Membership Committee Member
Also sending a Resignation or Non Renewal email from the members who does not wish to renew or is resigning from the chapter membership should be sent to the Regional Office with a Copy to the Support Director, for better record keeping in time of need.
CONTROL LETTERS SENT TO THE R.O. SHOULD BE SENT ALONG WITH THE HARD COPY OF THE P.O.D.!!
