This article provides guidance for Viva Engage group admins to produce the best live event experiences for their groups and communities. When setting up a live event, we recommend that you configure your video, community, and user permissions at least 24 hours before the event for the best experience. This includes such settings as adding users, updating video permissions, and changing a community from private to public. It can take up to two hours for certain changes to propagate across Microsoft Teams and Viva Engage. Allowing 24 hours or more can provide time for testing and adjusting if needed.
You must be an admin to assign roles for the live event (producers, presenters, and so on). Only assigned roles receive an invite, allowing them to join the event through a link. Learn more about roles assigned through Teams or through an external app or device.
Your public or private group must be connected to Microsoft 365 and Enforce Office 365 identity setting must be selected for the organization. To restrict attendance to members only, use a private community. Non-members can attend and participate in live events scheduled in a public community.

Enlist helpers for the key roles: organizer, presenter, and attendee. Consider creating a separate Viva Engage community of your volunteers specifically for the test.
To maintain the privacy of live event content, only authorized users can join a live event and are authenticated as they load the live event page. Authentication must be successful for video to be viewable. Use your browser's settings to make sure that cookies are enabled and that any extensions that block tokens are disabled. After changing the settings, refresh the event page.
The Video-on-Demand is stored in the SharePoint Community where the event was hosted and is automatically shared with members of the private community. If the event was produced in a public community, the video is shared with everyone across the Viva Engage network.
Yes, the videos can be edited in SharePoint. The edited video in SharePoint is automatically updated for attendees to watch. It can take up to 10 minutes before producers can edit their videos after the event is completed.

Note: When you go to a live event go past the events settings and enter the events manage production side, an ingest streaming session is provisioned for the user to stream to. You have 30 minutes to stream to the event before this provision of the streaming session expires.
Your stream signal will be broadcast live to your viewers, regardless of the status of your webcam and the browser encoder. We recommend starting a local recording of your stream from within your encoder at this point as well, just in case of any problems with your internet connection.
The Chat panel on the right is where you can enable, disable, and monitor your event's live chat. You can post messages and emojis during the stream from the Chat option. You can also disable it or export a transcript as a .txt file. Chat transcripts are available to download for 30 days.
The Auto CC tab allows you to enable automatic closed captioning for your event, making it more accessible to a wider audience. You can also input custom words such as people's names or technical jargon to ensure they are captioned correctly.
When you end a recurring event, the URL of each archive from that event will include a unique video ID that is different from the general event ID. This allows for differentiating the individual videos within an event series after they are no longer live. Keep this in mind when sharing links to your event versus a specific archive from that event.
Contracting entities and their entertainment events vendors should address these issues in their contracts for events that will take place at "a state-operated fairground, county fairground, state park, California State University, University of California, or auxiliary organization-run facility that hosts live events."
Toggle on Live Event Sharing to start sharing event information. Your Live Event Sharing recipients will begin receiving messages when you start an activity. Sharing is turned off automatically after 24 hours.
You can add up to 5 recipients' phone numbers to have automatic text messages sent to them about your event. Select Recipients > Add Recipients or Edit Recipients to add a recipient. Recipients will need to opt in to receive text messages from Garmin related to Live Event Sharing. To send an opt in request, select Send Request and follow on screen prompts. To delete a recipient, swipe from right to left on their name.
Estimated Completion Time - The estimated time it will take you to complete the event. Available distance options include 5K, 10K, Half Marathon, Marathon or Custom. Custom has a distance limit of 20 miles.
