Hosting seminar speakers at RCB - some questions you will have

Guys,

I just thought I would write this down. All of us will be hosting many seminar speakers over the coming few months at RCB. I have listed the key points that any of us as host would need to take care of (the way we have been doing it so far).

1) Once we have finalized the schedule for our guest (after speaking to Director and the guest, like Tushar made below), it might be a good idea to "bcc" the same email to the rest of us so that we can all mark our calendars and try to make sure we are around as per the schedule drawn.

2) The attached file - of one of our successful candidates ;) - is the powerpoint format we have been making and sending to Vaishali for uploading on the website as soon as the date is finalised and we have the title and abstract (max. 200 words) from the speaker. Just change the appropriate details, and retain the formatting.

3) To circulate the seminar notice to everyone at RCB-THSTI (typically around a week before the talk and again on the day before), we have been embedding images from the powerpoint into the email text at Dr. Salunke's suggestion. Avinash or I can show you how in gmail tomorrow - took us some time to figure it out. We then send the email to biotech...@googlegroups.com - which contains all email ids of both institutions.

4) Regarding airfare reimbursement, accommodation, pickup and dropoff (from/to airport and from/to RCB), we normally wait for the speaker to ask for them. If they ask, we can provide guest house and all pickup/ dropoff. We can reimburse only Air India economy airfare within India to and back from RCB, on production of air ticket and if it has not been reimbursed elsewhere. Jayashree coordinates these details very well if copied in these emails. 

Thought I would share this - we can discuss if there are any doubts.

night as well as pick up to reach RCB and drop off to Airport on
December 7.

4) 10:00 am - 10:30 am :Sivaram Mylavarapu and Avinash Bajaj
5) 10:30 am - 11:00 pm: Setup for seminar
7) 11:00 am - 12:00 noon: Seminar
8) 12:00 noon - 12:30 pm: Meet with Director
9)12:30 pm - 1:30 pm Lunch
5) 2:00 pm -: Departure
