some highlighted titbits

Me:
Thank You for your reply.
(1) Sometimes I struggle a lot trying to search for an email that I wrote or replied to several years ago.
Is there an easier way to do that, instead of going through all responses to the search ???
(2) Is there an easier way to DELETE old marketing emails no longer relevant,
lots of them unread, not the ones I had acted upon or ordered something based on it say (this may not be easy or needed).
Thank You.

Google Answered =

1) Finding emails you sent or received several years ago (more easily)

The fastest way is by using Gmail search operators in the search bar at the top of Gmail. You can type these directly no need to scroll through results one by one.

Search by date range

  • after:YYYY/MM/DD before:YYYY/MM/DD
    Example:
after:2020/01/01 before:2020/12/31 (find emails from the year 2020)

Search for emails older than a certain time

  • older_than:3y (older than 3 years)
  • older_than:5y (older than 5 years)

Search by sender

Search by subject

  • subject:"Your subject text" older_than:2y

Include archived emails as well

  • in:anywhere project older_than:3y
(This searches Inbox, Archived, and other folders together.)

Advanced search (no typing required)

  • On a computer, click the slider icon on the right side of the Gmail search bar.
  • You can then filter by date range, sender, keywords, attachments, and more.

If the email was archived

  • Archived emails still exist under All Mail and will appear in searches.
  • On the left side of Gmail, click More → All Mail.

2) Deleting large numbers of old marketing or promotional emails

An easy and effective method is to use Gmail’s search:

Quick cleanup method

  1. In the Gmail search bar, type:
    unsubscribe
  2. This will show most marketing and promotional emails.
  3. Select the checkbox at the top-left to select emails.
  4. Click “Select all conversations that match this search.”
  5. Click Delete.

This works well because most marketing emails are required to include the word unsubscribe.

Additional tips

  • You can also search by category (on desktop):
Promotions tab → Select all → Delete.
  • If you want to avoid deleting emails you acted on (orders, receipts), you can refine the search with keywords like:
    unsubscribe -receipt -order

Optional (for future emails)

  • You can create a filter so that future marketing emails automatically skip the inbox or go to Trash.

I hope this makes managing and finding your emails much easier. If you’d like help with Google One storage, Gmail settings, or anything else related to your Google account, feel free to reply anytime, I’m here to help.

Thanks,
John

Me:

Yes, Thank You for your reply and the Very Nice solutions to my questions,

Very Helpful.

I have another question for you.

When I upload several items (photos, documents etc) as attachments to my email,
sometimes i like them to be in some kind of order, like which file goes first, and if a new
file is to be attached to go into the list of attachments in there, i may want it to display
there in some specific order, etc, but usually they upload and get displayed not necessarily
in the order desired, but somewhat randomly, depending on the size, and order it is in the
files selected to be attached, I think.

Is there a way to change the order of the attachments into our own choice, somehow
move them around in the way they are displayed in the email ???

Google Answered =

Regarding your inquiry, attachments are arranged in the order they are uploaded. Unfortunately, they cannot be arranged once they are already attached in the email.

Hi Thirumala,

Thank you for your reply and for sharing your questions. I’m happy to explain this step by step—both of these are very common concerns, and Gmail does offer some powerful tools that can make things much easier once you know where to look.

1) Finding emails you sent or received several years ago (more easily)

The fastest way is by using Gmail search operators in the search bar at the top of Gmail. You can type these directly no need to scroll through results one by one.

Search for emails older than a certain time

  • older_than:3y (older than 3 years)
  • older_than:5y (older than 5 years)

Search by sender

Search by subject

  • subject:"Your subject text" older_than:2y

Include archived emails as well

  • in:anywhere project older_than:3y
(This searches Inbox, Archived, and other folders together.)

Advanced search (no typing required)

  • On a computer, click the slider icon on the right side of the Gmail search bar.
  • You can then filter by date range, sender, keywords, attachments, and more.

If the email was archived

  • Archived emails still exist under All Mail and will appear in searches.
  • On the left side of Gmail, click More → All Mail.

2) Deleting large numbers of old marketing or promotional emails

An easy and effective method is to use Gmail’s search:

Quick cleanup method

  1. In the Gmail search bar, type:
    unsubscribe
  2. This will show most marketing and promotional emails.
  3. Select the checkbox at the top-left to select emails.
  4. Click “Select all conversations that match this search.”
  5. Click Delete.

This works well because most marketing emails are required to include the word unsubscribe.

Additional tips

  • You can also search by category (on desktop):
Promotions tab → Select all → Delete.

I hope this makes managing and finding your emails much easier. If you’d like help with Google One storage, Gmail settings, or anything else related to your Google account, feel free to reply anytime, I’m here to help.

Hi Thirumala,

Thank you for your response. I appreciate you sharing that, and no worries at all, it's completely understandable to feel unsure about what you have if you haven’t had a reason to look into it before.

To help me guide you better, I’d just like to understand what kind of assistance you may need. Google One is a subscription that mainly provides expanded cloud storage (used across Google Drive, Gmail, and Google Photos), along with additional benefits and support.

Could you please let me know if you’re experiencing or would like help with any of the following?

  • Storage concerns (running out of space, understanding what’s using storage)
  • Account-related issues (recovering access to an account, suspected hacking, or security concerns)
  • Billing or subscription questions (charges, renewals, plans, or cancellations)
  • Google One benefits or features (what’s included in your plan and how to use it)

Once I know which area you’d like help with—or if you’re just looking for a general explanation—I’ll be more than happy to walk you through everything step by step.

I’m here to help, so please feel free to reply with any questions you have.

Thanks,
John
