1) Finding emails you sent or received several years ago (more easily)
The fastest way is by using Gmail search operators in the search bar at the top of Gmail. You can type these directly no need to scroll through results one by one.
Search by date range
- after:YYYY/MM/DD before:YYYY/MM/DD
Example:
after:2020/01/01 before:2020/12/31 (find emails from the year 2020)Search for emails older than a certain time
- older_than:3y (older than 3 years)
- older_than:5y (older than 5 years)
Search by sender
- from:som...@example.com older_than:2y
Search by subject
- subject:"Your subject text" older_than:2y
Include archived emails as well
- in:anywhere project older_than:3y
(This searches Inbox, Archived, and other folders together.)Advanced search (no typing required)
- On a computer, click the slider icon on the right side of the Gmail search bar.
- You can then filter by date range, sender, keywords, attachments, and more.
If the email was archived
- Archived emails still exist under All Mail and will appear in searches.
- On the left side of Gmail, click More → All Mail.
2) Deleting large numbers of old marketing or promotional emails
An easy and effective method is to use Gmail’s search:

- In the Gmail search bar, type:
unsubscribe- This will show most marketing and promotional emails.
- Select the checkbox at the top-left to select emails.
- Click “Select all conversations that match this search.”
- Click Delete.
This works well because most marketing emails are required to include the word unsubscribe.
Additional tips
- You can also search by category (on desktop):
Promotions tab → Select all → Delete.- If you want to avoid deleting emails you acted on (orders, receipts), you can refine the search with keywords like:
unsubscribe -receipt -orderOptional (for future emails)
- You can create a filter so that future marketing emails automatically skip the inbox or go to Trash.
