To whom it may concern,

on behalf of Board of Management of EFPSA it is my pleasure to contact you regarding fast-approaching and EFPSA's the most important and biggest event, 28th annual EFPSA Congress which is to be held in Baile Felix in Romania, from 27th April to 4th May 2014. 

During the Congress, there is General Assembly at which, among other decisions being voted upon, the Board of Management and Executive Board members are elected by the representatives of EFPSA. During the General Assembly, the Member Representative body would make decisions on behalf of the organisations they were elected to represent. In this regard, we are asking you to formally acknowledge the person your organisation is going to delegate to vote on its behalf, should that be a Member Representative, a Vice Member Representative or a delegate. 

At this years' Congress, first part of General Assembly takes place on Monday (27th April) and second one on Saturday (3rd May). It is essential for us to have complete list of people holding the voting rights on behalf of their Member Organisations for both sessions of General Assembly.You can find the document named Delegation of Voting Rights_Template14 attached, which you are supposed to fill in, sign and stamp before forwarding it in back to us so it can be archived. 

It is advisable to list the current Member Representative as a person holding voting rights at the first session of General Assembly on Monday, and next Member Representative (for the mandate 2014-15) for the second session of General Assembly on Saturday. If neither previous or future Member Representative are going to be present at the Congress, then it is strongly advisable that Member Organisation delegates voting rights to one of the Vice Member Representatives or to a regular participant who would then be required to take the appropriate votes. 

Before sending document back, please rename it by replacing Template14 with the name of your country or region. Deadline for sending filled document is 13th April 2014.
