BCB cookout conflicts with GSA Deepotsav event, thoughts? (please respond)

Hey guys,

We've just been informed that the BCB cookout on Nov 12th conflicts with the big GSA event Deepotsav on the same day which is open to all graduate students. Keep in mind Deepotsav will be held in the Grand Hall, so we should not conflict with them space wise. However, personally, I am leaning towards rescheduling the event because we do not want to conflict with big GSA events and suggest that Deepotsav is not important.

I want to send Susan a GSA opinion on this tomorrow, what do you guys think?

I had to search Deepotsav to even know what it is :\ 

It looks like there will only be an hour overlap and the GSA event goes to 9, so there would be ample opportunity to do both. Best would probably be to change it if it isn't an issue.

More thinking along the lines of Brian's point, I am now leaning in two directions:

1.) If there is another that work for most faculty and it's no big deal, then let's move it.
2.) If this seems like the best day and there's no alternative, we could still do it with minimum overlap with Deepotsav.

I am planning on submitting these two lines of thinking to Susan by noon today. Please reply before then if you have additional thoughts.

Just a few thoughts: 

Brian's line of thinking leads me to a different conclusion. If there is ample time (and there is) to do both, then why change it? 

It would likely not be very easy to find another date that works later in the semester. The later it gets in the year, the busier faculty get trying to wrap up the semester. Also, although unlikely and unpredictable, the weather could be uglier for a cookout later in the year. 

Susan has access to most faculty and department calendars and attends both faculty and staff meetings in the department. It's safe to assume she chose this date after consulting those because it includes most of the department. That said, when you email her, maybe include a short, friendly note encouraging her to consult the GSA calendar and events before scheduling departmental events so that there is no overlap.

Yea, I'm kind of on the same page as Joey.  Because of the little overlap, I think it would be ok to go ahead and keep the date with the suggestion of consulting the GSA calendar in the future.
