It's probably about time to start thinking about this year's
BarCampBrighton, especially now that the Digital Festival
http://2012.brightondigitalfestival.co.uk has got funding and formal
organisation.

I'm not going to be available to co-organise the event this year, but
I can happily do a mind-numbingly detailed hand-over :)

I'd suggest doing the following:

1. Decide if you fancy helping out
2. Get together with each other
3. Find a venue or venues available on suitable dates
4. Start approaching sponsors. You need to raise between £1.5 - £5k
depending on the venue cost, number of attendees and kind of
food/snacks/drinks you'd like to provide.
5. Tell everyone about it!

To help you, we have details on every past sponsor ever approached,
including those who actually sponsored. The venues we've used, and
venues we've tried/wanted to use. Access to blog, twitter account,
event site, etc.

I probably won't be able to help out in the run-up due to Maker Faire commitments, but should be able to volunteer on the day :)

I'm also not available to co-organise this year but can help with hand-over :)

On the venue front, provided you find a key holding member to volunteer on the weekend to help you look after the space, The Skiff is at your disposal if you want it. We have more space now we've extended through to Gloucester Road and we'll hopefully be able to get our friendly neighbors involved again too so we should have room for 100 (or possibly more) participants. We just have to make sure that we give our members plenty of notice and double check that none have any objections. The cost of The Skiff for this type of event is 20% of the budget you raise so if you get £1,500 in sponsorship we'll charge £300 and if you raise £5,000 we'll charge £1,000.

I recommend you budget £5 per meal per ticket released and £5 more for beer / drinks. You won't spend it all on food and drink as there are other bits and pieces (like chair hire and stationary) that you'll need to cover but it works as a good rule of thumb.

With this approach you can scale the event fairly easily based on how much sponsorship you raise.

Say you decided to do breakfast, lunch, dinner, drinks, breakfast, lunch over Saturday and Sunday and have The Skiff as a venue. You'll be looking at 6 x £5 plus 20% venue cost so £36 per head. You could then sell sponsorship in multiples of £36, with the amount you raise dictating the number of tickets you release.

Alternatively you could fix the number of tickets at 100 and sell sponsorship in multiples of £600. Each sponsor you get covers a meal or drinks inclusive of the venue cost.

Hi all,

I went to the town hall meeting last night for the brighton digital festival, and dates that seem not to clash with the mini maker faire and the dotbrighton game hack seem to be the 29th and 30th.

How do others feel about this?
