"office hours" tonight at 6 if anyone wants to talk, and updates!

Hi all! BarCampNYC5 is closing in on us, and I want to be sure that we're all on the same page and that I've answered any questions that anyone's got.

I'll be in http://drop.io/barcampnyc5 at 6pm for "office hours" of chat time if anyone wants to join and/or ask questions

Here's the rundown of all info I've got so far:
  • Sponsorship
    • I believe we're in good shape at this point, with $2525 donated or pledged for in-kind purchases.
  • Venue setup
    • Eric & Giuseppe will meet Rachel Appel (She's from MS, helping Peter coordinate - hi Rachel :) ) at 5PM friday night to do some initial setup and prep. Anyone who wants to join us for this is more than welcome! ;)
  • Saturday: 
    • Peter will arrive with food & supplies early - I'm planning to be there around 9:00 AM at the latest to help. Pete, will you need more helpers to load in food? 
    • We open the doors at 10:00 AM, but there are bound to be some early arrivers, so the earlier you can be there the better :)
    • 10:30 AM is the kickoff in the big room, then people do the grid and run to the first talk at 11:00 AM (probably starting a few min late)
    • After the last slot, people are welcome to hang out, chat, and talk till' 10PM
    • At 10PM (or earlier if it's winding down), we herd the remaining folks over to the RSHotel (I've got a call into them to make sure it's okay, waiting to hear back)
    • Currently, we're not planning to do the overnight
  • Sunday
    • we do it all again, starting at 11AM, closing up at 6ish
  • Food?
    • We'll have munchies, coffee etc thanks to Peter / Microsoft
    • Providing meals is still a question mark - currently, we're don't really have the cash, and I think that's fine. 
      • There's plenty of food in the nearby area, but we should have details on the wiki of where to go. 
      • If late sponsors jump on-board maybe we'll do pizza lunch?
      • Should we tack an extra 30 min onto lunch to allow time for people to run out?
  • T-Shirts
    • Guiseppe, you're bringing these by Friday eve, right?
  • Badges
    • Guiseppe is printing / bringing these
  • Reimbursement
    • Anyone who has spent money, please keep receipts (or better yet, scan / photograph them and email them to me) and I will get you reimbursed
  • Attendance
    • There are ~50 tickets left for sat and ~100 for sunday. I imagine another 50 will go for each day, so we should have a nice crowd without being totally slammed. I'll be very interested to see the no-show ratio with the late promo, since people haven't had much time to forget about the event. 
  • Volunteers
  • Anything I'm forgetting???

Yes I will bring the T-shirts and Badges on Friday Night (will do my
best to be there at 5:00pm, but it depends on the traffic).
On Saturday morning, I volunteer to be downstairs to help Security
with the access to the building (mental note, bring coffee and donuts
for the security ;-)) ).
On Sunday morning not sure If I will be on time to help with the access.

Yes you forgot that we need to close registration by no latter than
the end of the business day tomorrow, and send that registration List
to be process for the building security ASAP.

We need to know if it will be necessary registration for Saturday and
Sunday, and publish this in the Wiki.

Peter L, can give more details on this.

How many attendees we have so far?

Less than 72 hours.

Giuseppe, registration is needed for both days.  What we will do is submit the SAME list of people for both days... which is the total number of names for the whole event. That way security has all possible names for both days and it will cause the least amount of friction with them.  If we get any one who attends last minute, we'll handle it by having me let them in personally.

2-3 helpers for Saturday morning would be nice.  That way someone can wait with the car at the curb while I go up and down to open the doors with my badge.

Peter C... are you still going to meet me 10am on Friday in Jersey City BJs?  I need to get into the city, and then back home by 3pm in order to pick my son up from school in the afternoon... so hopefully we'll beat the tunnel traffic!  

One more thing to consider on the "task" list... who is going to emcee and do our facilitation kick off on Saturday morning?  I can volunteer for that, but might want to pass so as I may be dealing with venue logistics at that hour.

I'll also leave a Word doc with Rachel that can be printed out for all of the signage we'll string up throughout the venue on Friday evening.  I have some rolls of blue painters tape in my car which I'll leave there Friday afternoon.

I figure I'll probably do the kickoff announcement, since I'll
generally be herding people into the room and towards the grid, and
hanging around the halls to help where needed during the day. Anyone
who wants to be part of the kickoff announcements is welcome to :)
