BCNYC5 timing for planning

Hey hey everyone!

I've heard some whisperings about when to start planning BCNYC5. 

We started planning BCNYC4 in the first week of November, and the show went on at the end of May, almost seven months later. As most of us know, this took longer than we originally anticipated. We were originally planning on doing the event at the end of February, which would be a four month cycle from start to finish.

I think it'd be great if we stuck to the "end of May after school is over" time frame to try to keep ITP as our location. 

So the question is, when should we begin planning?

My initial thought is to begin at the start of January, so we have 5 solid months to plan, but it might not hurt to have some preliminary pre-planning strategy-type meetings before that.

At some point soon we'll also want to start porting over to the BarCampNYC5 Google Group as well. (which I just created: http://groups.google.com/group/barcampnyc5)

What do you think?

Hmm - I like the idea of setting a date that works for ITP, but I'm also wary of what happened to us with PodcampNYC2. We had too long to plan, and ended up spending a LOT of time on things that didn't actually make the event happen (many of which were scrapped before the event), and all of the organizers were 100% burnt at the end of it.

Personally, I'm going to be a strong advocate for "barcamp lite" this time around - focusing on the core stuff like the space, the grid, & the people, and keeping long discussions about other things (also important, but not core to making the event happen) split off into different sub-groups run by the people interested in making those aspects come together.

With that in mind (and assuming ITP is willing to host us again) my vote would be to see what dates ITP has and make barcamp happen faster, lighter, and in a way that doesn't burn out the core organizers. That doesn't mean I'm against a May date, but I think whatever day we pick, we should plan to keep the development of the event fast and intense. Presuming the space is lined up, I'd vote for 6 weeks instead of 6 months, with the exception of some brainstorming emails/talks/dinners in the months before hand.

Anyway, that all said, I've joined the new group and will certainly be here to help and in a more involved way than last year :) Once again, huge thanks to everyone who made BCNYC4 happen, I was *camp burnt, and needed a break, and it was a fantastic event.

We put Fashion Camp together in about 6 wks, in a very "*camp lite"
style. I like that plan.

I suggest we have an informal meeting over beers soon, send out
feelers for a venue (ITP was very gracious for FC and may be open to
BC, and there're other good options as well) and then re-convene 8
weeks before the camp date.

Agreed on the lite'ness factor and the sub-committees. As a fashion camp co-organizer 6 weeks was too little time to wrangle in sponsors. I believe that 2-3 months is reasonable amount of time to get our barcamp ducks in a row.

Definitely - sponsorship is one of the things that we'd need a bit of a running start on. Thankfully we have a great crew around BarCampNYC that's been willing to sponsor each year so far, so although extra time on that front is a good idea, i don't anticipate a big problem pulling it together this year.

The other main difficulty with FC sponsorships was that no one in the fashion world knew what a *camp is. As Eric points out, Barcamp is fortunate enough not to have that problem to the same degree.

I like all of this... keeping lightweight for as long as possible will put less strain on us and work just as well if not better.

We should have more lightweight high-level dinner conversations between now and then, to help shape where we want to go with things and what to focus on once it comes time to get down to the nitty gritty.

So when shall we do the first dinner?

Wanted to offer the MSFT space as an option too. It'll be new! And it'll
be open for business around Thanksgiving this year.

Half of it is already done, and it looks great!
