Hey guys

I won't be able to be there for Thursday unfortunately (I keep on double booking myself....) but I'll try my best for Friday, I'll probably text Carin to confirm I'll be there or not, but otherwise I'll see you all on Saturday morning. I'm a morning person and I'll be extremely excited, so I'll give all my help then :)

Hey Morena,

Firstly, a massive thank you for volunteering to help out with BarCamp London 8! The weekend is shaping up to be awesome fun and I personally can't wait to get on-site Thursday night. Below are some pointers on what to expect this weekend, and hopefully answers to any questions you have.

What do you mean Thursday?

City University, unlike our usual office venues, is a working building until late on Friday evening, giving us a little less time than we would like to put everything together. So on Thursday we will be getting a head-start by laminating almost 300 badges, sorting all those t-shirts, and generally preparing the goody bags. Freeing us up for furniture moving, food purchasing and venue prep on Friday.

If you are available on Thursday from 6pm to 9pm to come and help us out, please email me back. We do not need everyone, so this is more a "if you are nearby, fancy some food, and don't mind fumes from laminates".

What about Friday?

If you've put yourself down as available on Friday, some of us will be on-site from 4pm, and it would be great if we can get everyone there by 6:30pm. We will give everyone a quick health & safety talk, a quick guide to how the A/V works and then grab some dinner. We will then have the job of getting all the rooms set up, building the grid and making sure all the beer & sugar based products have been safely stowed!

The rest of the weekend?

On Saturday, doors open at 9:30am and we need as many people as possible on-site from 8:30am. If you will have problems getting to the venue that early please let us know. As with everything else, as long as we know who's available, we can work around it.

After registration is complete, there is still going to be lots to do including preparing lunch, dinner, drinks, etc. The list goes on but we have 30 crew and 250+ attendees so it's all very manageable. More details on the exact to-dos will be in the crew room on Friday.

Health and Safety + A/V

As organisers we are responsible for the safety of everyone attending the event (Cristiano is responsible for your safety). On Friday evening everyone will need to go through a quick 15 minute walk around the building to familiarise themselves with the known risks, evacuation procedures, and manual handling. Also, Kate will take everyone through how to work the teaching pods. They are fairly awesome featuring an LCD projector, an OHP, and interactive whiteboard.

If you are not around on Friday, you will need to do it after the welcome session on Saturday!

This seems like a lot of work! What do I get in return?

Apart from the gratitude of all the attendees, you also get some perks:

Food: There will be plenty of food throughout the weekend, however if you are working on Thursday or Friday we can't promise silver service but we can order takeout. I'd like to pre-order this from Just Eat ahead so there's two polls.

We may also have bacon on Saturday morning!

Beer: Unlimited beer from the bar - obviously don't be stupid, but you also get to look cool in front of your mates when you can get them more beers after their tokens have run out!

Bring a towel: We're not making this massively public knowledge as that will only lead to issues, but there is a shower available for you to freshen up if you would like to during the weekend.

Sleeping Bags: There will be two crew sleep rooms set up after 9pm on Saturday, one for snorers and one for non-snorers :)

Souvenirs: You will get to take home your lovely crew badge to remind you of the fun you had cleaning toilets plus we've ordered everyone a crew hoodie!
