Hey, now it's time to spread the world about barcamp hanoi 2. There
are many ways that we can do:
- Yahoo messenger status: Is anyone interested in organizing or
joining barcamp hanoi? Just ping me, plz :)
- Tweet this: is anyone interested in organizing or joining
#barcamphanoi, just ping me :). Plz retweet, tks :)
- Should write introduction to barcamp hanoi to as many it forums,
group as possible. I'm writing one, so I will post it here to spread
the world, and you can post yours here plz :)

- About volunteers for barcamp, my faculty is full of girl future-
supposed-interpreter :), they are very active. Now all we need is a to-
do list for us to choose and complete it. How many volunteers do we
want??? I'm afraid I call for so many so we have a contest for
volunteer =)) (just joking)

- Some documents about barcamp saigon organization exprerience was
sent to Ning Nguyen (right?). So could you share it or I will get it
from barcamp saigon organizers now :)

I only have got some documents about asking venue sponsorship. Almost resources about Barcamp Saigon can be accessed easily at http://www.barcampsaigon.org/dokuwiki/doku.php?id=2008_org_home especially about volunteers' work. You guys who want to be a volunteer for Barcamp Hanoi should check it out.

We will have our own documents for specific tasks soon, right after we have the homepage. I am setting up it based on Wordpress. For me Wordpress is still much simpler than Drupal. Is that okie, Hoat? If okie, I need something to finish the work:

- An official logo. There is one from Barcamp Hanoi 1 here (http://www.barcamphanoi.org/BarcampHanoi.png) but I think you guys can submit your own ideas and we will make a poll.
- Somebody fluently in both English and Vietnamese to take charge of keeping the homepage up to date.

About marketing activities, please think twice. We will only have space for 100-300 people. So mass marketing is a bad idea. Choose the right targets. It's just my opinion. I think we will have to set up a meeting about this.

Viettel is the first sponsor i suggest. I used to attend AEISEC meeting. There, there're some presentations from the director of Viettel multimedia. He seems to be passionated in conducting the social activities..

- About the task-list: think about useful web application for task-
list and we can all create + edit + assign task, deadline (of course
with administration). Any recommendation?
- To me + huydung: Drupal is much easier to set up + run + complete
the content. It depends on experience, right?

My English post:

Hi everyone,

To tell the truth, I'm a little envious of some HCM city (Saigon)
geeks' activities, especially about Barcamp Saigon 1 and their #H3 :(.
What about in Hanoi? Just correct me if I'm wrong but it seem there
hasn't been any such interesting events in Hanoi. Here I just want to
mention and introduce Barcamp Hanoi 2. You can just google some
keyworks orderly to get info: barcamp to have general ideas about what
is barcamp, barcampsaigon to know what Saigon geeks did to complete
the task of organizing barcamp saigon 1. Then the last keywork is
barcamphanoi to know more about Barcamp Hanoi organization status :).
And then I will call for organizers + volunteers + participants + some
other things :)

Firstly, about Barcamp Hanoi 2. Why 2? Good question :P, do you
know that Barcamp Hanoi 1 was first organized in Vietnam, esp in
Hanoi :). Just check this: http://blog.exoplatform.org/2007/12/28/barcamp-hanoi/
So, Barcamp Hanoi 1 was organized by eXo employees (esp. jeremi ) just
in internal eXo Platform SEA employees. And Now we (Hanoi geeks,
bloggers, volunteers...) are organizing Barcamp Hanoi 2.

After the great success of Barcamp Saigon 1, some efforts to
organize Barcamp Hanoi 2 started but in slow progress. Sometime it was
supposed to happen before Tet holiday, then just some weeks after Tet
holiday. But now we're still preparing for it and the progress is very
fast. This post is also for the purpose of preparation for Barcamp
Hanoi 2. Please just check out what is happening in Barcamp Hanoi 2
organization: http://groups.google.com.vn/group/barcamphanoi?hl=en.

So here I'm calling for organizers for Barcamp Hanoi 2 :). It's
open to everyone :). Now the number of organizers can not be counted
more than 10 and there are many many things to do. Some points just
remember: Just join in organizer team when you have passionation +
know the spirit of barcamp :). Some volunteers needed for doing other
things like food-prepare (don't worry, you do not have to cook any
meal :P), T-shirt design (for designers), sponsorship for persuasive
speakers and many other things you can do for Barcamp Hanoi 2.

To participants: Know about barcamp spirit, know about barcamp
rules, huh :P. No audience (exept for volunteers), just participants:
think about what you will share for Barcamp Hanoi 2 (IT based topic),
and what topics you're interesting. We will have some forms to get
info soon. We will make Barcamp Hanoi 2 as great and relaxed as
possible. If too many people will go for registering Barcamp Hanoi 2,
we will have to filter out out some people :( because of time + venue
+ other problems.

- Some expectations:

+ What: call it Barcamp Hanoi 2 ;)
+ When: April 12 (supposed)
+ Where: RMIT Hanoi or Genetic BK or other?
+ Who: any one interested in joining barcamp, participants but not
audience :)
+ How many people there: About 200 geeks. So think about some
interesting topics to have your seat at Barcamp Hanoi 2. The seats are
limited :)
+ official tag for Barcamp Hanoi 2: barcamphanoi
+ official website for Barcamp Hanoi 2 will be updated soon, just
check it here http://barcamphanoi.org

nói ở Barcamp Hanoi 2 lần này (liên quan IT).

+ When: Có thể là ngày 12 tháng 4.
http://twitter.com/barcamphanoi

Hey, it's time for us to join Barcamp Hanoi 2. What you are waiting
for? Spread the world about this event is a resprectedly helpful
action.

Sorry, but you can not choose. Peeple register first get first. Everybody's free to join, right? Maybe I am not optimistic but somebody only comes for food and T-shirt. So sad but actually I happened in some open conference. So please think twice before posting your post to every forums. Choose the right targets, we only have a limited space.

And in your post I see something that's not really correct I think.
- Barcamp is not only for geeks. What's a geek? BarCamp is open. Anybody can attend—as long as they come with the intention of participating in the discussions.
- The topic is recommened in IT based topic but it's really unlimited. People's free to choose what topic they want to see and discuss, right? And as I know there will be at least one presentation about Global Issues and one about Haiku in our coming event.

Just my 2 cents

Hi guys,
I would be careful about that.
If you spread the word about BarCamp Hanoi, just don't have a signup list yet.
Only tell people about BarCamp Hanoi and call for organizers/volunteers.

But don't let people register too early.
You may quickly fill up your attendance list and then will have to turn people away like we at BarCamp Saigon did.
Your venue will have a hard limit for the number of attendees, so you can't gamble too much with the numbers.

I recommend that you decide what the optimal types of attendees are.
And then do marketing fairly and simultaneously through all possible channels.

We tried to be optimal, and in the end we could have done better.
Sometimes we had entire companies take up 20-30 spots, especially sponsors, whom of course you don't turn away.

When there's limited space and there is not cost to signup, people tend to go a little crazy. :)

There's no reason why you should limit the number of organizers to 10.
Ideally, I think you need twice as many.
There are just too many things to do.

Ok, here we can discuss more about the registration problem.
- Firstly, I agree that we should prevent bad people joining barcamp
just for T-shirts and food. No, we have to :) and we will now show the
registration when it's not ready.
- Secondly, Barcamp Attendees includes:
1. Organizers + volunteers + (special) guests + pre-registered
attendees
2. Registered attendees from official registration form (fast full
filled in a short period of time)
3. Special registers: They will contact us directly and we will
consider them in waiting list or promote some to official attendees.

So why don't we spread the world about barcamp hanoi? If we don't do
that, how to get sponsorship when they know that not many people know
about this event. What sponsors' purpose for this event, we all know.
And if more people know about this event, it's easier for us to get
sponsorship. Right?

To prevent bad people attending just for T-shirts + food, we should
careful about registration management.

I want to emphasize that it's essential for as many people know about
this as possible. This is a special event, a festival like. Don't
hide, don't be so mean to other people. If I do sth wrong, just let me
know. Everything should be as open as possible.

**Registration managment** In my case, total seats = seats for
organizers + volunteers + guests + attendees.
- Pre-registration: This is the 1st priority. These pre-registered
will almost show up for barcamp hanoi. This period will end before
official registered period. So total pre-reg seats = organizers +
volunteers + guestss + pre-reg attendees.
- Official registration: the seats available = total seats - total pre-
reg seats.
- Special registration: Some how registered attendees can not show up,
or some interesting people are late when official registration is
closed. They will contact Registration Manager. RM should manage to
make sure enough seats for right people.

@Huy:
>> Now the number of organizers can not be counted more than 10

> There's no reason why you should limit the number of organizers to 10.
> Ideally, I think you need twice as many.
> There are just too many things to do.

Hey, my bad expression :(. I said that currently we had only < 10
organizers (the number who has contacted me). Sure, we need more. This
is a hard-word, and I know every one is very busy. I'll contact more
people to join and attend 2nd meetup to decide + discuss.

I think it's time for us to decide the time + place for 2nd meetup.

I'm not sure what pre-registered attendees are.

As for sponsorship, it didn't matter how many people actually knew about the event beforehand.
The name "barcamp" is enough for people to understand how big it is, so when we said 200-300 people, sponsors believed us and expected 200-300 people.
We did worry a little about it like you guys, so that's why we opened the registration form early to show lots of names on that registration list.
But actually, we ended up with too many names and we had to lock down the list.
So I wish we had not opened the registration so early and had to deal with companies that registered too many people.

Ultimately, there were still a lot of people who didn't know about it, and they will know next time. But we definitely had enough people.

I mean pre-registered attendees: they're certainly eager persons to
show up and give talk. I know some these guys, so why don't we give
them pre-registered seats when they're the right persons for barcamp.
Don't let these people to hurry up and chase with other persons:
including the bad persons just registering for T-shirts + Food.
My god, it's a bit difficult to write and to make people understand
me.
Hope you guys understand my bad expression :(

You can not know who's willing to give a talk. Well, some people just decide to talk after they see others' presentations. Who knows. I think you should be careful when you spread the world about Barcamp Hanoi. Mass marketing is not a good idea in this case.

I can have direct contact to them. I know some interesting person
willing to give talk and will certainly show up. So what if I know and
I'm responsible for these persons?
Right, I will not do anything silly without discussion :).

Because I'm also concerned about logo contest. If you do not spread
the world about it, who will know and who will take part in the
contest?
Just from my perspective.
Ok, that's all right. Nice discussion, guys :)

FYI, the post attracted hundreds of view for the first days. And what did I do? I just tweeted it, posted in Facebook group, shared on my blog, of course you and some other people too. As I know, some designers who're addicted in Tech contacted me to ask more about Barcamp.

I am not sure how you do understand the term "spread the world about barcamp hanoi". Does it mean you have to spam to everywhere about Barcamp Hanoi? What I did above, I think, is also spreading the world about Barcamp Hanoi, but "the right world" in the context.

Nice, just my concern. Forgive me about that :)). No, spam is not my
job :). "Spread the world about barcamp hanoi" - I mean just let some
IT-forums know about it.

Well, IT-forums in Vietnam are very complex. Choose the right community, man.

Right, I'll be more careful to choose the right community. Anyway,
great discussion. If I intend to do or am doing something, I will need
a post to discuss about it to avoid any undesired mistake he he :)

The spirit of Barcamp is already known by all of us.
Bu we are the organizer of Hanoi version - second one - but in my opinion it is the first one by some reason (U will have yours own idea), but we must identity some key problem:

- Attendee: Barcamp for every one who want to share but it is "every one in focus"

- Purpose of Barcamp Hanoi:
Forum for everybody share common interesting
  Make some "noise"??
Inheritance - will be organized in next year??
  Value achieve by Hanoi version??

Identify the "right" purpose we will have "right" way to do beside every common work to do when organize an event!

That is my contribution! Thanks all!

If we are concerned about people coming to BCH just for t-shirt and
food, maybe we should consider giving out t-shirt at the end of the
day. So only those people who have participated the entire day can
receive the t-shirt.

We did that for that reason.
The problem is that 70% of the people will not be there at the end of the day.
It doesn't mean that they don't care.
It just means they have other things to do, are tired, etc.--legitimate reasons.
We ended up with an excess of T-shirts and we wish they had our T-shirts to wear as advertising for BarCamp.

I think it's best if you give T-shirts away during a break time in the middle of the afternoon.

By the way, I think that BarCamp Saigon was too long--we should have made it about 1.5 hours earlier

I completely agree with Huy..you have reason!!! Although there are some who will be there for T-Shirt, it's the least. I think most don't spend there valuable time just for a T-Shirt but for getting shared and sharing what they don't know and what they already know!!
