BarCamp Hanoi 3rd meet up summary

Ok, this is the summary of our 3rd meet up:

ATTENDEE
- Toan - Viettel Media
- Hoat Le - eXo
- Dac - VNext Software
- Kien (Graphical Designer)
- Phuong

CONTENT

* Sponsors: This was our main topic today, must be done in 2 weeks

- Estimated fund needed: 4000~5000 USD

- Way to raise fund: Ad, or more specific:
+ T-shirts: We could print the sponsors logo on T-Shirt, 2 big
ones and 5 smaller, income = 3000~3500USD
+ Banners: 2 big ones at the entrance and some smaller one for
each rooms : income = 1000USD
+ Pens: with sponsor logo income = 500USD
+ Stands for sponsors: 2 or 3 income = 1000USD
+ Bag: Contain brochures, badge, lunch ticket and pen with sponsor
logo printed outside income = 500USD(?)
==> Total ~= 6000USD

- We will have several packages for sponsor, 2 diamonds (800~1000
USD each), about 5 Golds (600~800USD each) and silvers ( about
400~600$ each), each packages included several benefits for sponsor
like logo on T-Shirt, stand etc... (we will decided this later)

- Mr Dac will have a full list of sponsors soon, after that we will
contact them to see who is interested and will have a specific plan
for each sponsoring packages. Hoat Le will be in charge of contacting
them, and I will be his assistant

- Bill and payment: maybe someone else should explain about this
topic :( (I still remember it but not sure if I can write about it
correctly)

* Design: We will do this after have a list of sponsors and the logo
for BarCamp Hanoi, Trung Kien will be in charge of this.
- The T-shirt will have 2 big logos and 5 smaller ones on the back
and the logo of BarCamp HaNoi on the front, the colour is white
(everyone agree with this?). We will have 50 XL size, 50 S size and
the rest is divided between L and M size.
- Banners

* Printing banners, stickers, name badges etc... : Trung Kien and Mr
Toan will be in charge.

* Food & beverage: Will be discussed later.

* Other things need to be considered: maybe we should have some back
up in case that some equipments are damaged.

So to sum up:
- HoatLe: In charge of contacting potential sponsors, take place of Ha
if she is too busy.
- Mr Toan: Printing
- Trung Kien: Designing
- Ninh: Contact RMIT and make sure about the time, equipments that
RMIT can provided, also, if you can you may want to help Trung Kien
with designing banner by providing nessessary information about the
place that BarCamp Hanoi will take place of (so he will know how many
banners could be placed, where to put them, their size etc...)
- Mr Dac: Contacting sponsors
- Me: Assistant of HoatLe (we learn in the same university anyway)

Things that are left:
- Food and beverage
- Detailed timeline
- <add somethings that I forget here>

We need price quotation to make the plan more detailed. Toan, can you give us price of printing T-shirt and banner? (ASAP). About food, I and my friend can provide price quotation from a restaurant near RMIT Hanoi.

I think there is something wrong here:

No food but 6000$. Speechless. We have no time to raise fund so please consider. I will write here what we need most:

About number of attendees (incl volunteers and organizers): 300 (The space can't handle more). So We only open registration for 250 and other things will be calculated around the number 250 and 300. Please update your work frequently. We can't delay more.

+ Number & size: 50S + 100M + 100L + 50XL = 300
+ Design: after sponsorship, cooperate with Kien to have final design
+ Expected: one or two weeks before barcamp day

@Ninh: that is not wrong, that is the way @clarius express, make U misunderstand: That is plan to make sponsor package, not budget plan - the way to raise it not the way to use it :)
