What about having a list of tasks that we want to do for successful
planning?
[ ] Finalize Date
[ ] Share responsibilities for following items
[ ] Venue
[ ] Hall/Room with table-chairs (x 2)
[ ] Projector
[ ] Whiteboard (x 3 -> 1 x room + 1 x room + 1 x reception-area)
[ ] Microphone + Speakers (x 2 set)
[ ] Breakfast
[ ] Lunch
[ ] Evening Snacks?
[ ] Sponsors
[ ] Calculate - how much funding we need?
[ ] Figure out potential sponsors via our connections
[ ] Talk to sponsors and get funded :-)
[ ] Branding and Promotional Media
[ ] Logo
[ ] Banner Design
[ ] Banner Printing (what size and how many?)
[ ] Stickers (for laptops?)
[ ] T-Shirt Design
[ ] T-Shirt Printing
[ ] Blog/Website Badge
[ ] Notepad + Pencil for campers
[ ] Invitation/information Brochure (one-page)
[ ] Promotion
[ ] Talk to various sponsors, if they can help in promotion via FM
channels and News papers. I have feeling, Radio Mirchi might become
sponsor - it would be cool then.
[ ] Placement of banners - IIT K gate, SIIC Gate, ?
[ ] Blogging/Tweeting - we all can write, tweet and spread the word
[ ] Distribute invitation/information brochure to various
departments in IITK and outside institutes/companies.
I have not marked Venue thing yet, we are still waiting for our request
to be confirmed by Sudha Ma'am of SIIC, but I believe it would happen.
This is rough list, I can think of, please feel free to change (add,
modify, remove).
I would put most of the list on wiki, except some of ideas around
potential sponsors. I think, we can good sponsors but it's better we
first get them and then post details.
