BSB Exchange [Results of application for extra money]

It has been a while when we all met in Lund. I hope you are doing good and enjoying the spring as we do in Latvia. :)

On 13th of April application for extra money has ended. With this e-mails I would like to inform you all about the results and next steps coming.

We have received 8 applications asking for extra money for their exchange: 4 from KTU, 2 from LTH, 2 from RTU. Amount of money asked is different.

On 14th of April I together with Juris looked through all applications. We checked if these applications fulfill regulations for applying (described in e-mail sent to all applicants), read through their substantiation, programs improved and budget asked and compared them with applications submitted before.

Once more shortly about regulations: money can be used for improvement of exchange, money cannot be asked to improve accommodation or food (as these expenses had to be already in first application), and maximum amount given for one is 200 EUR. I will remind you that we make an exception for applications from LTH. As Ufuk has explained in our meeting it is almost impossible to realize exchange for 400 EUR in Sweden.

Almost all applications complied with regulations sent out and issues we discussed. There are two applications where small corrections have to made according to regulations mentioned above.

One is application from LTH, Guild of Mechanical Engineering: total amount asked: 604 EUR. According to regulations 600 EUR can be given.
Second is from KTU, Faculty of Design and Technologies: total amount asked: 600 EUR whereof 60 EUR are asked for coffee breaks. According to regulations no extra money can be given for food therefore total amount that can be approved is 540 EUR.

What’s next?

When first round of applications is approved, we should start financing exchanges. To do that we need money from BALTECH planned for BSB Exchange project. I will shortly describe the system how we receive the money from BALTECH:

Money for all exchanges in university is administrated by main SU. Agreement with BALTECH is that they transfer money to main SU in university. SU should transfer money further to faculty self-governments, guilds ect.
But you and they should remember that all documents covering expense has to be collected and copies sent to Riga on November! It was a request from BALTECH to include them in final report.

I will send the list of applications and amounts of money approved in first round to Toomas Kabin. After that you should send an invoice from your to BALTECH Secretariat addressed to Toomas Kabin with the total sum given for exchanges in your university.

I am very sorry that this e-mail turned out very long but there was a lot of things to tell :)

Dear all,

I somehow managed to send unfinished table, this is one of first versions where both TUT exchanges are missing!
Please find attached corrected table. I am very sorry for that!

We have received 9 applications for extra funding: 4 from KTU, 2 from LTH, 2 from RTU and 1 from TUT.

In total we will have 12 both-sided exchanges starting already from next week :)
