Our annual meeting will be Friday November 2, 2018 at 7:00 pm. at Joseph & Ruth's house, 904 Dorothea Drive, Raleigh, NC.
There won't be the usual pizza dinner, but if anyone wants to bring dessert that would be great.
Here is the proposed agenda for the meeting:
- Develop the 2019 Schedule
- Consider installing a permanent O-course
- Software & hardware report
- JROTC annual event
- ARDF report
- Mapping update
- Membership change (if OUSA continues to penalize clubs for members)
- Online pre-registration & payment
- Increasing event fees
I would like everyone's feedback on these last two items even if you can't attend the meeting or are not a BOK member.
I am proposing that we offer online registration and payment to make events easier for event directors. We will discuss and decide on this proposal at the meeting.
- We increase our current fee for online payment by $2. (New entry fee will be $7)
- We increase our fees at the event by $5 to encourage most people to register online. (The new entry fee at the event will be $10)
- The entry will include a second map when two people go out together.
- People who come to the event for the first time can have a free whistle. (One whistle per entry.)
- Stick rental will remain unchanged at $5
- Members also register online. Membership fees are unchanged and include event entries.
This is how the changes will make it easier for event directors:
- Handle much less money at the events.
- Some venues will not allow payment at the event site.
- Have a more accurate count for map printing
- We frequently waste lots of maps and sometimes come up short.
- Be able to pre-assign rental sticks so that minimal typing in of names is required after the event.
- Real time results (which we are currently testing) will display the competitor's name.
- When people come with a friend they both have maps.
- We don't have to strongly suggest that they each have a map.
- Most groups like scouts and JROTC go out in pairs, so there is no fee increase for them.
- The receipt that is emailed to registrants can be used as entry forms so filling out of forms at the event won't be necessary.
- Event directors won't have to deal with $1 bills as much and new people will get a whistle with our web information on it.
