Incoming calls ringing

How do I change the settings so that all of the phones/extensions ring when an incoming call comes through? Currently only one extension rings, so when i'm gone from my desk, my colleagues have to run over to my desk to answer the phone, despite having their own phones on their desk.

Hi Catriona, 

You have 2 main options to resolve your issue - 

1) Create an 'intercept' rule.  This will let you create a code to allow anyone to answer your phone from their desk.  For example, it could be set so that dialling *30 will pick up any ringing phone.

2) Create a group with all the relevant phones in it.  Create a rule that sends the calls to the group. Anyone in that group can then pick up the call.

In your babblevoice console, you could setup an internal rule that states "When a call comes in for *30 intercept any other phone that is ringing and pick up the call." (option 1)

Or you could go to 'Manage' at the top of the screen, and click on groups. Click 'Add a new group' and give it a name, with all the phone you want contained. once this is created, you could setup a rule that states "When a call comes in for <my_extension_number> then ring group <group_name>.'

Hi Andy,

I have tried option 2 and it doesn’t work. 

I have tried to implement option 1 and I can’t figure it out. The only option to intercept is this below:


Even when I select that option, none of the other phones ring so I can’t pick them up. 

Where is the option to dial *30 to pick up the call?

Hi Catriona,

For option 1. This is creating a internal rule so that any of your phones are able to dial a number (which can be any number or code you like) Andy used *30 in his example but this could be 1, *1, 42 or anything else that you can enter on your phones keypad. 

The idea is that your main rule which currently only rings your phone, will continue to do so. But then if you are unavailable to answer it, from one your colleagues phones you would be able to dial the code you selected for your intercept rule and this will then pick up the call on your colleagues phone without going over to your desk.

To implement this, the steps are :
  1. From your babblevoice console find the dashlet which is titled "Internal Rules"
  2. Select "Add a new rule" from the toolbar on the dashlet 
  3. This will give you three options, you want the first one "when a call comes in for then do..."
  4. You will see a field called extension, this is where you enter in the code you would like to dial from your colleagues phones to answer the calls - *30 for example
  5. Then from the rule chooser select "placing calls to telephones"
  6. Then the "Intercept any other phone which is ringing and pick up the call" rule as you did before.
In regards to the second option, to call a group. I'm unsure on what didn't work for you when attempting to get this option set up, if you let us know what you did and what the results were then we would be able to assist further.

Hi Jay, 

Thanks for this. I knew it was an example, it just wasn’t clear that ‘Extension’ means you have to type in your code of choice there. I was entering my extension number 1005 there.

I’ve just tried it again, following your instructions,using code ‘1’ and it works!
