Calling list for AYSO refs (needs to be done in the next week)

Hi Jane, 
Your help is greatly appreciated! We had one new (Regional) referee training completed last week, and we have another on September 13. We have found that calling volunteers to invite them or confirm their attendance has greatly improved the turnout ratios. We just finished consolidating all the volunteers into a single spreadsheet which I have attached here. It has the names and contact info, as well as notes on past interactions. Use that as the list to call in the next week. 

Charlie Roxlo is our Director of Referee Instruction, and an all around nice guy. Kartik has been working with him (he's a nice guy, too) and also made many of the calls to get volunteers to the last training. When you look at the spreadsheet you'll see some of the names are highlighted. The 8 dark green names are already registered for the 9/13 training. The 16 light green names are the set we'd like you to call and invite to the "Referee Companion Course"  training on 9/13. Either they signed up to be a referee, or they were already asked to switch their volunteer job to referee. They've also received several emails from Charlie so they should not be surprised by your call.

Instead of the normal training (4 hours in the classroom and 4 hours field training), the first half of the companion course is taken online at your own pace. Many volunteers find they get through it in under 4 hours. The online portion must be completed before the field training on 9/13. The field training will be held at Miller Middle School and Queensborough pool (1138 Miller Ave, SJ) from 9am-1pm. The candidates must pass a test after the class to be certified. After the test, we will provide the newly trained referees with their uniform and the necessary equipment to officiate a game.

Because AYSO is an all volunteer run organization, we ask that Referee volunteers commit to officiate 10 games over the 10 week season. Referees get to choose their games based on their own schedule, so the time commitment after training is basically an hour a week! Referees who officiate in a minimum of 7 games will get a "returning referee" discount next season on when the register their children, and they also get a nice sweatshirt every fall.

I've been slammed these past two weeks, and this weekend is also crazy, so I apologize for the delayed response to your email. I don't want to "throw you to the wolves," so please give me a call after you've looked at the spreadsheet, or whenever you have any questions.

I've been a team manager before, but I've never had to create the Shutterfly team site (the coach did that last time).  Is there an easy way to copy or transfer all the team info from Webyouthsoccer into an Xcel sheet that we can upload into Shutterfly?  Or do we have to type all the info into Xcel?
