what’s the role?

We’re looking for a Business Operations Coordinator to join us. It’s a part-time, remote role - around 15 hours per week to start, with room to grow. Working days and hours are flexible.

Think of this role as the engine room of the organisation. You’ll keep the business running smoothly - from billing and compliance to onboarding new Community Members (the people we support) and helping grow our pool of allied health partners. You’ll work independently, use your own judgment, and have real ownership over the customer experience and how things get done.

This is a great fit for someone who’s neurodivergent or disabled themselves - we know that the skills that come from navigating complex systems, managing your own energy, and thinking differently are exactly what this role needs.

Some things you might do:

  • Manage billing and invoicing, including NDIS, Medicare, private insurance, and self-funded payments
  • Respond to billing enquiries and Community Member feedback with care and curiousity
  • Own the Community Member experience - from first contact through onboarding and intake, making sure everyone feels welcome, cared for and informed
  • Oversee payroll processing and make sure everything is accurate and on time
  • Keep our CRM up to date with correct billing, funding, and Community Member information
  • Track funding periods and budgets so nothing falls through the cracks
  • Make sure compliance obligations are met
  • Onboard allied health professionals to grow our pool of practitioners
  • Coordinate operations centrally, keeping things running smoothly behind the scenes
  • Be the first point of contact for team questions, escalations, and requests from practitioners
  • Keep an eye on reports, spotting issues and flagging anything that needs attention
  • Create, update, and improve internal processes and documentation so things keep getting better as we grow

About you

We’re looking for someone kind, thoughtful, and someone who genuinely cares about doing right by people. Someone who does the right thing - even when no one’s watching, keeps things running smoothly, and treats every person they deal with - whether it’s a Community Member, a practitioner, or a supplier - with respect and warmth.

Ideally, you have:

  • Experience with billing, invoicing, or accounts administration
  • Familiarity with the NDIS - plans, funding periods, service bookings, and how it all connects
  • Experience with CRM or practice management systems (Halaxy experience is a bonus)
  • Confidence handling feedback, complaints, or tricky conversations with empathy
  • Some experience in business development, recruitment, or practitioner support
  • Strong organisational skills and the ability to manage your own time and priorities
  • Comfort working remotely and independently, with the initiative to figure things out
  • An NDIS Worker Screening Check (or you’re happy to get one)
