I flung together a draft for our next event's flier [1]. The room number is
stubbed out (still awaiting a proper reservation; Michael/Lane, eagerly
awaiting this).

Does the graphics and language look good/appropriate? If so, I need to get
this out to Rackspace ASAP so that they can verify that their branding meets
their requirements.

Flier looks a little busy, but other than that it's good!  Language is fine as far as I can tell.  Hanging these up at ENS?

Hi Benjamin,

Yeah, it's hard to get all the necessary elements in there without a
little
clutter. I'll take concrete suggestions if anyone has some, although
there's
not too much time for too many iterations of tweaks.

Sure, we'll have ENS and all the labs plastered with fliers as soon as
we have
details finalized. Look for them early next week. And we're working
with some
student organizations for an email campaign a few days before the
event.

But nothing's stopping you from spreading the word by mouth right
now. If I
remember correctly, I believe you made it out to one of our last open
forums
about working effectively in a team. We've invited a few more
professionals
for this upcoming forum, so we're trying our hardest to get the word
out.

Looks good man - the only thing I'd say is you want to solidify where the meeting is going to be instead of SAC??? - it leaves doubt in the mind of the potential attendee and I would wager could significantly lower the priority of this for them.

Sukant et al,

So, after making a couple calls and finally getting a response, I've learned that all rooms in the SAC are reserved on a recurring basis on Tuesdays. That being said, the person I talked to did give the option to reserve a room on WEDNESDAY, October 26th from 7-9pm. And it would be the Legislative Assembly room. Upsides: lectern, tons of movable chairs, and it's arranged so that the first row is facing the rest of the audience (might be excellent for the panel?). Downside: it's a massive room. Might seem a little empty, even with >20 people.

Let me know if you want me to snag it and I'll do it ASAP.

WRT the flyer, it looks excellent. No more changes necessary after we stick a room on it. It's much better than what I was throwing together.

Cheers,
Lane Smith

First off, I wanted to mention that I'm doing something new here. I'm ignoring
the "atx-sm-mentors" list (which was originally our "planning" list), and just
doing all communication on the one list. I'm curious if this will encourage
more student participation, or turn them off with the added traffic. Feel free
to reply back if you have an opinion on that.

I'm not happy with moving the date unless it's absolutely necessary. Next
time, I'm going to recommend we reserve the room first, before anything else.
Waiting this long is too dicey.

Even if we do move the date, the Legislative Room doesn't sounds like a perfect
fit. Even though the ENS rooms aren't ideal, I say we go with those.
Michael's already put in the application, but let's really get on it. Ideally,
I'd like to have this resolved by mid-day Monday. Lane, Michael, we've got
each other's numbers; we can call each other to figure this out.

Other than that, the only other thing to get in order is emailing, but I don't
think we're behind schedule on that. It's still a bit early to hit the student
organization lists.

Thanks a lot for helping out. Every bit of help is much appreciated.

I had thought that would be the response to the date change. Fair enough, and I agree. I thought I would just put that out as an option.

Regarding earlier reservation, the guy for the student union that I talked to mentioned that the SAC has become really popular for meetings, and that all but a few dates were reserved far in advance. If we want to plan on having an activity in the SAC for next semester, it might be wise to come up with a solid date by December at the latest. No need to nail down all the details for the activity then, just having a date and a room reserved would be enough.

Expect confirmation on the room reservation on Tuesday. In my experience, it takes 3 school days to get a response.
