Meeting Scheduling and BCP Strata Terms of Engagement

Dear Committee

 I have made enquiries with BCP Strata.  The current terms of engagement allow for 2 committee meetings for up to 2 hours at their offices attended by the strata manager.  They can only be held in business hours, that is, Monday to Friday, and I assume 9 to 5.

 I have advised that most of our committee members are in full time positions, so I am not certain how practical this is for others.   As it forms part of the current terms of engagement and we are paying for this service, I think this needs to be utilized.  Also, I did discuss varying the terms of engagement to suit our committee and I discussed the pending flying minute with respect to the appointment of our manager.  The response send on behalf of Scott Simpson, Managing Director is below. 

 “Until our office receives the records for Aspire on Kings, we are unable to make any decision in relation to the management of the scheme. Once the records have been received, Scott will review the files and place the Body Corporate with the manager who is most suitable to look after the scheme.

 As advised, our agreement proposal has been provided to the Body Corporate in accordance with the information we were given. The fee listed in the agreement allows for the AGM plus two committee meetings, with all meetings to be held in our office, during our standard business hours. Out of Hours meetings have not been allowed for and at this stage, we are unable to offer Aspire on Kings meetings that are not within our terms of engagement.”

With respect to the meeting times, and in line with the terms of engagement with BCP Strata, could you please indicate your availability for a meeting on Thursday 6 November. 

As I have been asked by the Chairperson to circulate a flying minute on the topic of the appointment of our manager, I will do so separately.

I am unavailable on 6th Nov as I am away with work.

 

I will find week day meetings difficult to attend due to work commitments. I would prefer weekends or after hours mid week , but I will try and fit in with consensus.
