Saturday Meetings at B.C.P.- Otis contract

Hi Pam.

 

Re your enquiry about possibly paying a surcharge to hold committee meetings at B.C.P. on a Saturday.

 

B.C.P. advise that they do not offer the service of opening for meetings on a Saturday. Even if they had been prepared to open it would not have been inexpensive , probably something similar to AAA who charged us $330 for the last committee meeting held at their premises.

 

As far as I can see only you and I have confirmed our availability for a weekday meeting , so I believe we need to abandon this concept and get back to doing what seemed to suit most committee members in the past , which was Saturday meetings at Aspire. We want as many committee members as possible to attend meetings and I am confident that we will get better attendance rate on Saturdays.

 

The Managers review should be back no later than 30/10/14   so  a meeting as soon as practical after that date would be my recommendation.

I have today signed off on the revised Otis contract negotiated by the previous committee & approved at the 2013 A.G.M.   The rate is the same as was offered at that time only adjusted for C.P.I.

 

This will save us in the order of $3,000 P.A.

Thanks for the information.  Very disappointing service from BCP Strata.   Basically, we will see our representative once a year at the AGM.   No wonder Linda said she didn’t know Michael Wylie very well even though she’d served on the committee when he was the manager.

 

You were also going to advise who has been appointed as our representative.

Well we will have to look at somewhere else to have our meetings. Sitting outside around the pool is not satisfactory and neither is going to someone's unit.

Perhaps these days with smart electronic technologies, we can all attend meetings remotely. 

 

I understand that BCP Strata will arrange early morning (and perhaps late afternoon?) week day meetings.  Perhaps they can connect us all into their meeting room using a video conferencing technology like Go To Meeting (see a really quick informative video at  http://www.gotomeeting.com.au/meeting).    This technology even records the meeting at a click of a button.  You can connect with mac, pc, smart phone, etc.   I’ve been involved in meetings using this technology and it’s fantastic – much better than skype.  Every participant can see each other and even documents displayed on the screen like the agenda, or building plans, etc.

 

This way we have the manager undertaking their full role, being involved in meetings providing advice and ease of participation for committee members.  The first month is free even and you can subscribe by month which is $65. That probably wouldn’t even match the petrol costs for people travelling from Brisbane for meetings.  I have to drive four hours when I attend meetings on a Saturday.   

 

What does everyone think?

I really like the idea of the electronic meetings. I think that perhaps a trial run would be a good idea.
