Hey,

My note are pretty scarce since I didn't think we needed minutes-it a real rough draft.


Marvy began the meeting by thanking the board and the elders for attending tonight.

Eric Richardson, President of the NAACP, was invited to help Marvy obtain a vote on the Asian Council sharing a lease with NAACP and (want was the other organization's name). The building is know as the Atrium building and is owned by the City of Eugene.

A business plan for the Atrium building was requesting prior to the meeting, however one was not provided.

Eric Richardson began by providing the board and elders with his history with NAACP. Eric did not have a business as well. The total office space is 1,350 square feet. Our area would be 10x12 with two shared conferences and a shared commons area with all other tents in the Atrium building. We would be required to "sign up" in order to reserve the commons area.

Eric stated he would like to share the office space because he was looking for an office for himself and stated he would be there most days to manage the office. Eric shared he was envisioning that have all three organizations work together taking shifts managing the main area. With all three organizations in one office we would babe opportunity to apply for grants to help fund our lease and have more opportunities to apply for other grants to help our organization achieve our other goals. Eric stated that Marvy had approached him about sharing an office with NAACP and has an intent-to-lease ready.

The floor was open for the board and elders to ask Eric questions and make comments.
Ken Nago shared that he helped design the Atrium and the location and parking is not ideal; limited parking, near the city transit and unsafe for elders and your children.

Other elders expressed the lack of a kitchen and that we love to get together and eat when we social and need a large storage space for drums and lion heads and props. If we're going to pay for a building we want a building that will allow us to provide and give the feeling of community. The building needs to allow us to cook, play games, practice have meetings and feed lots of people without a sign up sheet. It needs to be accessible and safe to the young and old at any time of day.

Ardyn asked about signs, equipment, supplies and other items that require a properly functioning office. Marvy did not have an answer.

Roger Yamaguchi stated that price per square foot is not competitive at $3,500 and we need to look at paying (oh what did he say??? Industrial square foot prices).

Jean Lee stated the grants that Eric was referring to where more for social justice organizations, not cultural organizations, like Asian Council.

Rent "free" for the first six months
Rent increases at month 7 at half
Rent caps at $3,500 a month at month 12
No parking
No kitchen
Cleaning crew two times a week included in rent
Utilities included in rent
Wifi available and included in rent
The City of Eugene has offered furniture that have in storage

We thanked Eric for this time and he left the meeting.

Marvy began by stating after she heard Eric and listen to the board and elders she would vote no on the Atrium building.

All agreed that the Atrium building is not the right building for Asian Council. The positive that came from this meeting was that we all heard and addressed what type of building the elders have envisioned for our organization and learned what we need to do to prepare prior before we start involving outsiders and the Asian Council.
