Hello, 

Attached is the Asian Council Board Meeting agenda for Monday, March 9. In a separate email I will also send the minutes from the January meeting. Hard copies of both items will also be available at the meeting.

We will have lite food for the social time beginning at 5:30 PM - 6:00 PM and the Board meeting will begin at 6:00 PM - 8:00 PM.

The location is Green Energy Corp. 990 Garfield Street, Eugene OR 97402.

Please note that Asian Celebration news/update will be announced at the appreciation luncheon.

Marvy, we will accept the redirect on the AC mail to be transferred back to the PO Box from your personal residence by the end of March no later than April 1, 2015, and please hand over any mail box keys and storage keys you have to Chau within the same expected timeframe.

Jodi,

Please come by the house and pick up all the items that need to be put back in storage.  I don't have the keys plus I need help with lifting these as my shoulder is bothering me again from fishing.  You may also take inventory of the items in my custody and take them. The list that I furnished at the beginning of our term should be updated, as some equipment items were transferred.  You will need a van, as there are many crates for the cash boxes, the banners, etc.  Some electronic items should not be kept in storage, though, as temperature changes can damage them.

However, the new secretary can do this as part of the formal turnover.  But I would be happier if these are taken earlier so I can make space in my garage for spring cleaning.

Dear Marvy,

On March 5, you emailed the board and elders informing us that you had Asian Council and Asian Celebration items that you had taken from the storage unit.  You also mentioned at that time you did not have a key.  David informed me today that you recently acquired a storage key. 

Have you retuned the Asian Council and Asian Celebration property back to the storage unit? If not please return the items by Monday, May 18, by 3:00 PM.

In the same email you mentioned that some electric items should not be stored in the unit. David has offered his office as a drop off location for your convenience. The address is 990 Garfield Street, 97402. Also, when you drop off the electrical items please return the storage key. We request that you returned these items by May 18, by 3:00 PM as well.

Please contact David and provide him proper notice when you will be returning the items to his office so he can be there to accept the property and storage key. 

Thank you in advance or thank you now for returning the Asian Council and Asian Celebration property and have a fun time off fishing.

Dear Marvy,

I'm following up with you regarding the email I sent on April 15. As of today I have not heard back from you.

Today a number of us met at YG to work on the Kite Festival and some items that we need are not in the storage unit. Both Ardyn and David went to the storage until at separate times and could not find the following:

-Markers for the kites
-Banners/signs and stands 

Since the Kite Festival is sponsored by Asian Council, we need the signs for this Saturday's event May 2.

We understand some of banners/signs may be damaged, however the stands are very expensive and we can still use them and need them for this Saturday.

Please bring the specific items which are Asian Council property to David's office ASAP, no later than Friday May 1, 3:00 PM. If you are able to return them today or Sunday, please contact me and I will be happy meet you at Oakway Center in front of The Pottery Barn for both of our convenient . My phone number is 541-913-5291, call or text me. 

The other Asian Council property can still have the return date of May 18, as stated below.

We don't want to spend any more of the Asian Council's money if it is not needed. 

Please inform me or Ardyn, Kite Festival Chair, when you have returned the markers, banners/signs and stands.  

If you don't not have theses specific items at your residences, please help us with where these items may be.

Dear Marvy,

It is yours and only your responsibility to return Asian Council property that you removed or obtained from the storage unit or from events that you currently have in your possession. It is also your responsibility to provide an itemized list of the property BEFORE the items are picked up/dropped off.

The abuse you have bestowed on several of the past and present board members has created a situation that Ardyn, David nor myself feel comfortable going to your personal residence. 

Marvy, I can ensure you I am not embarrassed about the email I sent listing all your atrocities. Please stop mentioning the "forgiven" comments. Their is nothing to be forgiven for. You did nothing to me that you need to ask for forgiveness and I have not asked you to forgive me for speaking truths. 

Your recent actions have concluded it would not be in my best interest to come near you or your residence.  This present issue of missing Asian Council property and you admitting you are retaining the majority of the missing items is not personal. It is a board member, former Secretary, asking you, former President and board member, to return which is not yours.

You were emailed on one or more occasion and texted asking for the return of the Asian Council property with a neutral location convenient to your residence, however you never responded.  Contacting Samara, as a board member, was the next best option. 

I was not comfortable contacting Samara at the beginning since the issue pertains to you, however, it was decided that if we could get the Asian Council property returned without bringing  the problem to the board it was worth the risk to contact Samara directly.  Taking this issue to the board that the former Asian Council President was refusing to return Asian Council property would be far more embarrassing than calling Samara.  

I encourage Samara to contact me or the board, if what you state is fact and we or I will discuss the issue with Samara directly.  As Samara's mother and former Asian Council President this situation would never exist if you had conducted yourself with the same stewardship.

Chau and I spoke last night and she will be coordinating with Shann and will be contacting you to schedule a pick up time and will also be contacting David for a drop off time at his office for the Asian Council property.

Also Marvy, we still have not received a response from you on the PO Box situation. We need to know what date the mail was reversed from your residence back to the PO Box and if you have returned the key to Chau. Please respond.

Your comments on how the board should be directed have been heard, however, it is unlikely we will have this type of behavior or issues going forward, but will definitely keep this situation from escalating to the present chaos. Together, as a whole board, we will review the actions of the last two years and together we will work a sound policy and a mutual understanding to ensure this type of broken leadership will cease. 

We look forward from hearing back from you on the PO Box address update and mail box key.

She did not want me to bring this up, but please do not take advantage of her youth and innocence.  I did not like the suggestion either of having to bother my husband about this issue nor your accusation of my harassing you, David and Ardyn, which is the reason you are not coming over to pick up the items.  Please, no more lies!  Please do not make her feel awkwardness with her enthusiasm in serving the board with the issues we had in the past term. Like I said, you are now forgiven for all your shortcomings but DO NOT carry on with past issues with my daughter!  Keep it professional and please be a good example!

However, you should take this up with the new board.  It should be protocol for the new secretary and perhaps treasurer, to take into account all the transfer of Council assets and have them duly recorded and accounted for.  You should have a copy of the inventory list which we published early in our past term.  This is responsible stewardship.  Someone or a committee has to oversee the general well being of assets and at least know at any given time, the condition and whereabouts of said assets. We have succeeded in doing this quite well in our term.  In as much as Misa said there is no point person in general with the new board, then I would urge you to form a casual committee to gather people to pick up said items. We had this down pat, so all you need to do is follow our template.

I will be available for the items to be picked up tomorrow from 9:30-10:45 a.m. and then sometime in the afternoon. If you'd like a cup of coffee or tea and see the garden and chickens, you're certainly welcome to do so.

I absolutely concur with James.  Let's please handle this in a way that is more neutral and if that cannot be done, then we need to pass the responsibility off to someone that can.  If James has a truck it would be much better for us because our availability during the day is limited due to our work schedule.  As for the past issues, the most vital thing to be taken from that is to ensure that those past toxic behaviors do not transfer to the new board.  I feel it is in our best interest to seek a workshop for our board to learn interpersonal communication and conflict resolution.  Not to linger on the past but to learn professional skills for our future interactions with each other and to keep a professional reputation in our community.

I have a pick-up truck and can move whatever needs to be moved from one

Look, I understand that there are some really strong feelings involved
here, but we need to use enough restraint that we can resolve this with as
much dignity and respect as possible. If emotions are too strong, we need
to step aside and let someone more clear minded intervene. I've got a
reputation for having a bad temper, so I speak from personal experience.
It's difficult, but we are still servants of the community. Let's figure
this out with class and humility.

Hi All,

Yes, James Anderson and I will be meeting Marvy at her home at 5:15 PM today, Tuesday, April 28 to pick up the inventory.  David Tam will meet us the Council's storage unit to help unload/process. Of course anyone else is welcome to join to help make the transfer more expeditious; however, it will be a fairly quick endeavor, and I really appreciate the guys being ready & able to help haul the heavy stuff.

Chau has a detailed breakdown of our sellable assets from last year.  We have done our best to keep our storage clean and accounted for.

These reports I am giving you have last been updated when Anselmo resigned.  As of this writing, Lori Rarey will come and pick up items that should be brought back to storage, but the PA system should be kept in someone's custody.  There are new banners that have not been listed here that were made in time for the celebration, to be used for all AC events thereafter.

I will transfer all other treasury related assets to Chau directly when she and I meet.

As part of my commitment to transparency, I never go to the AC storage by myself.  Unfortunately, it hasn't worked out for me to find a second in between all the activities happening in many of our lives.

The sound system was returned to the Asian Council so that all of its (Asian Council) performing groups could have access to it.

This system was stored in the Asian Council’s rented storage unit.  PLEASE LET ME KNOW WHERE IT IS CURRENTLY STORED SO IT CAN CONTINUE TO BE USED BY ANY OF THE PERFORMING GROUPS UNDER THE ASIAN COUNCIL’S “UMBRELLA”.

 

Does the Asian Council know whether or not Eugene Taiko has become an “independent performing group, not under the auspices of the Asian Council”?

I have included Lois Yoshishige of Eugene Taiko with this question.  We should discuss how each of “our “ performing groups such as Waka Daiko, Chinese Lion Dancers, Fan Dancers are covered by our insurance policy:  Are they only covered for our Asian Council Events? What about injuries during rehearsals, other events?
