Hello Everyone:
Herein is the advertising report comparing last year's advertisers with this year's. We lost some advertisers but gained some, too. I want to thank Niki McFarland, one of our new board members, who has been so helpful with follow ups for some of the advertisers that we had to hound till the very end for a commitment/payment. I had thought about her a bit late in the game, but she was extremely helpful the moment she got on board to help. Niki, warm hugs and big thanks to your happy energy! Plus, thanks for getting your company to advertise, too!
David Tam's idea of giving a discount if paid before December 1st, is a great idea. I would suggest increasing the ad rates for next year by $35 (figure to be determined later, but let it make a difference), but if paid before December 1, then they enjoy the regular price of what we charged this year. One must coordinate with finance committee for collections, as that is perhaps, the most annoying part as well as the part of the job that gets overlooked that collections are sometimes totally forgotten...as has happened with Sunrise a few years ago. As volunteers, I totally understand how hard it is to juggle time to dedicate to collections.
Since I also wore the finance committee hat this year and helped with sponsorship, I did the invoicing and billing for all advertisers/sponsors per contract agreements. I made an executive decision to waive the advertising fee for Ken Nagao's company this year because of two things: the amount of printed items we have used up for the site plans the past years were all gifts from Ken's company that have far exceeded the cost of $200. Since he is closing shop this year, waiving the $200 ad fee he paid annually was a modest token of appreciation for all he has done for Council. Ken did not ask for this, I offered this to him. There have been other advertisers in the past that have received a free ride for much bigger ad space in our program guide and posters, which I hope will not happen again in the future if there is no revenue exchanged. I have annotated to the best of my knowledge, the advertiser's spread sheet with details of the contract, whether it is trade or a paid ad. I have most sponsorship contracts on file, too. We must abide by fairness amongst our volunteers. No one by virtue of rank, should get a free ad or booth without offering such to everyone else.
The advertisers that were crossed out in the 2014 column did not return this year. Many advertisers marked TRADE were for deep discounts they gave us or free use of fire extinguishers, for example. We are just so pleased that we got OCCU in as a gold sponsor, with a $5000 cash donation. We have plans of asking them to be our Platinum sponsor next year ($10k), and I have committed to Carrie to help keep the relationship going. Thank you Carrie, for your great sponsorship agreement writing skills! You really know how to make contracts!
To date, we have not yet collected from McDonald's, but the advertising company contacts have apologized for their client's delay a few times over (last message was just last Friday). I'm on top of this still...so I am sure they will pay in good time. I still am tracing the payment of Oak Hill School, which they claimed has been sent to Sing Lee/Marketplace.
I have the google docs files of all advertisers from Mimi Nolledo's term available for the future advertising committee chair, as well as, for the new Council board to keep as archives. All contact information and ad details are included in the files.
I apologize for my late advertising report, but I don't think I've seen any other reports sent out yet, unless I am missing them in my email. It's too gorgeous outside to stay on the computer, so I understand why we're all delayed.
Thank you and see you all on Sunday.
Sincerely,
Marvy
