Subject: Alexandria Display of the AIDS Quilt

Community Partners in Fighting HIV/AIDS (Alexandria Health Department, AGLCA, ANHSI, Alfred Street Baptist Church, Inova Juniper, K.I. Services, NOVAM, NovaSalud, VORA, Wholistic Family Agape Ministries):

As you know, the International AIDS Conference is being held in D.C. in July.  In conjunction with the Conference, panels of the AIDS Quilt will be displayed at various locations in the metro area.  The largest display in Northern Virginia will take place at the Torpedo Factory from July 21st through the 25th.

The Commission on HIV/AIDS wants to take full advantage of this unique opportunity to remind Alexandria and Northern Virginia residents that HIV/AIDS has not gone away.  We also want to extend the opportunity to you all to make or, in some cases, renew connections with our community and to reinvigorate community support for your good works.

Here are the specifics:

*       On Friday night, July 20th, the Torpedo Factory will be hosting a small preview party.  Details have not been finalized.

*       Throughout the duration of the display of the Quilt, the Commission will display facts about HIV/AIDS in Alexandria and Northern Virginia.  We will also display a list of resources serving our community, presumably including each of you should you agree.  We will also maintain a resource table of any materials you might like to share with persons visiting the Torpedo Factory to see the Quilt.  Since space will be limited, I recommend just a few materials for each of you that describes your mission, programs and organization.  We have someone who will monitor the table to restock it as necessary through duration of the Quilt display.

*       On Wednesday night, July 25th, the Commission will host a large community event at which tables will be provided for you to exhibit your work and engage attendees directly.  (We are thinking 6:00 to 8:00 p.m.  Set up could begin at 5:30.)  Mayor Euille will attend and preside over a short program.  We are also inviting all Council members, our state and national representatives, local health department directors, other City department heads, other Commissions and boards, community organizations, faith congregations and all residents.  We are using a variety of media to market this event.

It is our sincere hope that through these events we can offer you an opportunity to attract new donors, new volunteers and new Board members as well as new users of your services/programs in the community.  We see that HIV/AIDS has been off the front burner for awhile; we want to avail ourselves of this opportunity to put it right back there.

What do we want from you?

*       A response regarding your interest in being included in the Quilt display including the contact information you would like us to post and the materials you would like us to share during its duration.

*       A response regarding your interest in participating in the community event on July 25th.  We encourage Board members, staffs, congregants and clients to be present during this important time.

*       Marketing of the event to your listservs, your clients, your congregations, your colleagues and your friends.  We will provide materials as they are developed.

If you have any questions or would like to discuss this further, please let me know at your earliest opportunity.

I’m hoping we can work together to take full advantage of the Conference and the Quilt for your benefit and, ultimately, for the benefit of our community.  Thanks for your good work and collaboration.
