Interested parties are hereby invited to tender for the supply of the following; “The supply of beans to The School of St Jude, Sisia Campus, Moshono, Arusha”. Bidders are invited to submit their tenders for the supply of the above items.

  1. Quantity required

Tenders are invited for the supply to the School of St Jude, Moshono, Arusha, Tanzania the following:  30,000 kg

a.      Kombat beans grade 2

 

  1. What you need to apply

          To be eligible for consideration of your tender suppliers should submit the following:

  • Name and postal & physical address of the company;
  • Name of Director / Owner;
  • A list of referees’ companies that you have supplied in the last twelve months (when supplied, contract value, location of the client and contact details;
  • Valid Business license and any other applicable trading licences;
  • VAT and Tax Identification Number (TIN) registration;
  • Must provide a sample copy of Proforma Invoice, Tax Invoice, Delivery Note and legal EFD receipt.  The Efd will be verified before the contract is awarded to the successful bidder.
  • The price should include transportation, loading and unloading to our Moshono Campus;
  • Tendered price shall be fixed for a duration advised by the bidder but such duration be not less than 30days;

 

  1. Specifications and conditions

Upon tender submission, kindly ensure the inclusion of the specified items. Submit a quarter (1/4) kilogram of sample for the Kombat beans grade 2 in a transparent packing bags. Clearly label the bag with your company name. It is imperative not to place the beans samples within the tender

All Tenders in one original copy, properly filled in, and enclosed in plain envelopes shall be submitted with the necessary documents not later than Tuesday 2nd July 2024 at 10:30am in a sealed envelope clearly marked

6.      Notification of outcome

Bidders shall be notified within 14 days of the tender opening. St Jude’s reserves the right to disclose how the outcome was obtained.

Interested and registered architectural firms are hereby invited to express their interest in carrying out the “Concepts for sports fields in the new land at The School of St Jude, Sisia campus, Moivaro ward, Arusha”.

  1. What you need to express your interest

To be eligible for consideration of your proposal, bidders should submit the following:

    1. Name and postal & physical address of the company
    2. Names of Directors / Owner (s)
    3. Valid Business licenses and any other applicable trading licences;
    4. Valid professional & regulatory registration
    5. VAT and Tax Identification Number (TIN) registration
    6. Sample Quotation, Tax Invoice, Delivery Note and EFD receipts
    7. A list of at least 3 referee companies/NGOs that you have worked with for sports projects in the last thirty-six (36) months (company/NGO name, type of sports project, contract value, location of the sports projects, locations & contacts details of the client/project owners)

 

  1. Pricing, ideas, specifications and conditions of the concepts
    1. Please indicate your costs for preparing, submitting, adjusting & presenting the concepts to St Jude’s. Successful bidders shall be paid per the terms below.
    2. The initial idea is to get sustainable, aesthetical and creative concepts that include;

                                          i.    2 Primary School size football fields

                                         ii.    Integration of the new fields into the existing layout of the campus for a seamless access and pleasing views

                                        iii.    The existing huge swampy area merged into the sports fields

                                       iv.    A multipurpose court with minimum of;

1.    3 basketball courts, 2 netball courts, 2 volleyball courts, 3 tennis courts complete with the goals for each sport.

2.    There must be at least 1 Basketball, 1 netball & 2 volleyball free courts that can be used in tandem at any one time.

3.    Other courts to make up for above No. 1 can be superimposed on the existing free courts.

4.    Any other sports that can be integrated including but not limited to badminton, tennis, etc.

5.    Half of the multipurpose court be covered to be used on all weather

6.    Be of hard surface (concrete) fully finished, painted and polished

7.    Have its design blend in the existing scheme and theme of buildings in the campus

    1. Relocations/demolitions of existing services, infrastructure & buildings
    2. Beautiful and sustainable landscapes and hard scapes that are also pro-maintenance and using locally readily available materials
    3. At the minimum the proposed concepts MUST:

                                          i.    Show a schematic design (not detailed, not structural) of the concept (s). Only the shortlisted concept (s) shall be used for further design development and project construction. St Jude’s shall retain all non-winning concepts and shall at its liberty use any of the non-winning concepts so long as they were paid for.

                                         ii.    Have the concept price fixed for a duration of not less than 90 days.

                                        iii.    Indicate realistic duration it will take to implement the detailed & structural designs should the bidder’s concept be selected.

    1. Shortlisted bidders must first visit the Sisia campus, thoroughly inspect the site to assess conditions and any other relevant facts prior to preparing and submitting their design concepts.

 

  1. Shortlisting

After submitting the EOI documents in 1 above shortlisting shall be done by St Jude’s for a period of not more than 21 days. If you do not hear from St Jude’s after the expiry of the 21 days, then consider your EOI not successful.

    1. Only the shortlisted bidders shall be contacted by St Jude’s for further stages of the concept design which include but not limited to; visiting the site, collection of documents and then invited to submit proposed concepts
    2. Once appointed, the eventual winning bidder (s) shall commit to fully design and detail the selected concept (s) to the satisfaction of St Jude’s and within the timeframe indicate within the EOI documents. The costs for the detailed design shall not be paid until a contract for the detailed design has been entered to between the winning bidder & St Jude’s

 

  1. Organising the Expression of Interest

All EOIs must be organised in the following manner;

    1. Section 1: Introduction/Cover letter
    2. Section 2: Eligibility documents, arranged in order as per clause 1 above
    3. Section 3: Proposed price for the concept design
    4. Section 4: Proposed costs & timelines for detailed design & full project supervision including preliminary site mandatory tests, permitting stages, tendering supervision etc. This cost will be considered if a bidder proceeds to the detailed design stage.

    2. Payments shall only be done after the submission and presentation of the FINAL concepts. Please note these are not detailed designs but only schematic.
    3. Shortlisted bidders who eventually decline to proceed with further stages will not be paid any amounts.

a)    80,000 kg Kahama rice grade 2.1

          To be eligible for consideration of your tender suppliers should submit the following:

c)    A list two referees’ companies that you have supplied in the last twelve months (when supplied, contract value, location of the client and contact details;

k)    The supplier to confirm that he/she can pack the rice in white bags (Saflet) per 50kg if awarded

l)      Tender currency must be Tanzania Shilling

m)  Please submit tender as well as a quarter of a kilogram sample of the rice kahama grade 2.1 to be provided.  The sample must be in a transparent packing bag and write your company name on the bag.

  1.  Conditions

 

2.1.            Quality must meet the standard of our current uniforms and not otherwise, anything less will be rejected, and will be for the expense of the supplier.

2.2.            Measuring of students for uniforms is strictly forbidden

2.3.            Completion date shall be strictly adhered to

2.4.            Payment will be based on the delivery schedule and completion of items

2.5.            Samples are to be viewed at the Purchasing Office in Moshono

2.6.            Sample checking is mandatory upon delivery i.e name tagging, agreed sizes, material, colours e.tc as defined in this tender, and the cost of tagging is to be included and indicated  in the tender Document

2.7.            After evaluation: One bidder may be awarded the Contract for Category A (readymade

     uniforms), while another bidder may be awarded the Contract for Category B (tailored            

     uniforms). Alternatively, a single bidder may be awarded the Contract for both Category A

     and Category B.

 

 

  1. Submission

 

3.1.            All Tenders in one original copy, properly filled in, and enclosed in plain envelopes shall be submitted with the necessary documents not later than Tuesday 28th May 2024 at 10:30am in a sealed envelope

 

3.2.            No Tenderer shall display their names on the Envelopes the Envelopes should only contain the following Text and not otherwise.

  1. Opening of tenders

Tenders will be opened on Tuesday 28th May 2024 at 11:00am in public. All the Tenderers or their representatives are invited to attend the tender opening at St. Jude’s Boardroom, Moshono Campus. Any of the following reasons will lead to disqualification; Late submission of tenders, electronic tenders, and tenders not received, will not be accepted for the tender opening ceremony for evaluation irrespective of the circumstances.

  1. Notification of outcome

Bidders shall be notified within 14 working days after tender opening ceremony. St Jude’s reserves the right to disclose how the outcome was obtained.

  1. No Solicitation statements

St Jude’s conducts its activities in an honest, transparent and fair manner. All bidders will be given an equal opportunity and evaluated accordingly. Potential and/or any bidders shall not in any way attempt to influence the tendering process. Any form of solicitation in order for any bidder to be favored and/or for other bidders to be treated unfairly shall forthwith disqualify any bidder involved in such conduct.

  1. Adherence to all instruction

Bidders are hereby encouraged to adhere to all instructions as provided above. Failure to follow instructions or partial fulfillment of instructions shall forthwith be a disqualification.

  1. Quotations/Evaluation of bids

Proposals that are responsive, qualified and technically complaint will be ranked according to price. Award of Contract will be made to the lowest price quotation by the issue of Contract followed by Purchase order.

  1. Payments
