Admin week is not going as smoothly as we like. We had some difficulty keeping the office "closed" Monday and Tuesday. But hopefully we can do a better job starting today.
I have listed a number of items that need our attention. Everyone should please try to focus on supporting with the following tasks throughout this week. I know it is difficult to not get caught up with our program work. But it is important we set aside time to get our office in order. I am sure I left some things out, but this is just a general skeleton of what we need to do.
FYI, I have a DMV appointment in the morning. I should be back in the office by noon today. Please make me dua.

Administrative Week Staff To-Do List
General-
If clients come in with appointments, then have them wait in the hall way to meet Amria
- Otherwise, inform all clients that we are closed for this week
- Try to avoid answering any phone calls when possible.
Voicemail and Message Board
- Review message board and return calls
- Leave a note in the last box to the right of the person's name indicating what follow up was done and leave your initials
- Check the voicemail and delete all messages that you input in the message board
Salesforce
- There is a stack of AROC intakes on my desk.
- Most of them need to be inputted into Salesforce.
- The ones that have check marks on them, have definitely already been inputted by either Miriam or another staff person.
- Please search for the first and last name to double check whether or not the person is already in the system.
- If they are, review the contact information to make sure it is valid, check for misspellings and if all the first and last letters of names are capitalized.
- Make any corrections
- If they are not, input them and check the AALS client for contact type.
- Add a check with your initials to the top right corner
Files
- The file frames for cabinets are near the printer in the main office.
- The long one needs to be setup with the AALS file cabinet.
- The 2 shorter ones are for the top drawer of the red file cabinet near Miriam's desk and for the cabinet furthest from Amria in the AALS office..
- They need to be setup in the drawers.
Copies
- Print copies of our sign in sheets
- Print copies of our most recent intake form
- Please copies in an accessible folder that is labeled and placed on a shelf of the green book shelf near Mokhtar's desk
Communications
- I will have 1-on-1 trainings with each person to go over Constant Contact (email announcements) and Wordpress (website)
- Please set aside an hour for this sometime this week
AALS Office
- We will be rearranging the AALS office on Thursday.
- Please come prepared in comfortable clothes and your creative energy.
Program Concerns Check-ins throughout the week:
- Outreach, Oakland and Yemeni community
- Coalition 4 Safe SF meeting
- Need 2 volunteers for Saturday night at QWOC film festival
