Dear Arctos Working Group Members, 


First a reminder that we are skipping the end of the month’s AWG meeting on Thursday Feb 26, 2026. We will resume the next week on March 5th 2026.


In lieu of meeting, please remember the Arctos Officer elections will be held this year - 2026.

(From the Arctos Charter: In even-numbered years, the Arctos Members Council will elect or reconfirm the election of the Arctos Executive Officers.)


The Arctos Executive Officers are the positions responsible for day-to-day operations of Arctos Consortium, and are open to anyone in the Arctos Members Council. They are set for two-year terms with no limits to the number of terms. Once elected by the Members Council, they are approved by the Arctos Advisory Committee (i.e. Steering committee). 


Please consider adding your name as a nominee (or nominating a colleague) to any of these positions, especially the three open ones, by providing the following information to the Secretary:

  1. Name

  2. Arctos Institution

  3. Title

  4. Office sought

  5. Statement: reason for running, relevant experience and interest (brief, no more than 300 words)

Director

By Laws Duties:

The Executive Director shall serve as the executive head of the Arctos

Consortium and shall preside or be present at all meetings of the Advisory

Committee and the Executive Officer Committee. This position shall:

  1. Set priorities and agendas for the Arctos Working Group meetings, and chair its proceedings.

  2. Manage and develop operations of organization, including ensuring staffing, partnerships, and governing culture and functions. Communicate with the Officers on operational governance matters such as support costs, MOUs, and other Arctos-wide projects.

  3. Serve as the liaison between the Advisory Committee and Arctos Working Group. Provide the Arctos Working Group with a synopsis of Advisory Committee decisions and meeting discussions. Likewise, provide the Advisory Committee with the recommendations and needs of the Arctos Working Group.

  4. Respond to requests by potential institutions wishing to join Arctos and facilitate (or delegate appropriately) the migration of collection data in collaboration with the Arctos programming staff.

  5. Prepare and negotiate MOU with member institutions.

  6. With the Treasurer, review the financial contribution model (i.e., Arctos Consortium membership fees) and advise on financial models to the Advisory Committee.

  7. Serve as the point of contact between Arctos and the fiscal sponsor, including acting as supervisor to the paid Arctos staff.

Deputy Director

By Laws Duties:

The Vice Director shall support the Executive Director and perform such responsibilities as may be assigned by the Director. In the absence of the Director, the Vice Director shall assume the duties and responsibilities of the Director, either temporarily if the absence is temporary, or if extended, until the next appointment of an executive director by the Advisory Committee.

Treasurer

By Laws Duties:

The Treasurer shall be responsible for maintaining the financial records of Arctos and implementing its financial responsibilities, specifically this position shall:

  1. Maintain financial records and track costs and payments for Arctos, especially the membership fees.

  2. Invoice member institutions for services or membership fees, and track payments and billing notifications.

  3. Prepare and provide a financial report to the Executive Committee and the Advisory Committee as to the financial condition of Arctos. Together with the Director, Chairperson and the Chairperson-Elect, the Treasurer shall prepare a budget for the coming year and shall present it to the Advisory Committee at an annual meeting.

  4. Work with the Advisory Committee and Executive Officers to determine annual institutional support costs.

Secretary

By Laws Duties:

The Secretary of the Executive Officers supports Arctos by ensuring the safeguarding of the records and organizing the activities of the consortium and will:

  1. Keep the minutes of the meetings of the Arctos Working Group.

  2. Communicate the schedule of all meetings of the Arctos Working Group.

  3. Act as the custodian of records for the Arctos Consortium except for those exclusive to the Board of Directors, help prepare meeting agendas and meeting notes, and share with the relevant entities.

  4. Maintain the calendar of events for the Arctos Consortium, specifically to track timely events such as nominations and terms of office.

Membership

By Laws Duties:

The Membership Officer shall be responsible for organizing the members of Arctos Working Group and will:

  1. Maintain the rosters and contact information for all Arctos Consortium entities, such as the Advisory Committee, Members Council, and Arctos Working Group.

  2. Work with Arctos officers to welcome new institutional members to Arctos and invite them to participate in the Arctos Working Group and its communication means.

  3. Assist new Arctos collections staff in joining the relevant listservs (e.g. Google Groups) and forums (e.g., Github).

Education & Training

By Laws Duties:

The Education & Training Officer shall be responsible for managing the educational and training content of Arctos, and will:

  1. Organize webinars, tutorials, and other materials for users to learn how to most effectively use, manage, and customize the Arctos platform..

  2. Manage and maintain the various venues where Arctos shares its educational material (e.g., Arctos website, YouTube channel).

Communications

By Laws Duties:

The Communications Officer shall be responsible for effective communication on behalf of the Arctos community, and will:

  1. Communicate to the public and to Arctos users and stakeholders of events, new and existing features, and other news about the Arctos Consortium or community.

  2. Organize, create and publish the Arctos newsletter.

  3. Assist with social media outreach and content.

  4. Assist with timely event notifications on the website or social media platforms as needed.
