POLL: Closing the Team Leads Google Group

Following up on an action point from both Summit and the recent Asana Seminar, I'd like to propose decommissioning the Team Leads Google Group in favour of moving thread discussions to the relevant Asana Task. 

Please submit your votes by 10pm Tuesday, 20th August 2019. I've created a Doodle Poll for voting on the matter, and have sent this out to all occupied Team and and ExCom roles for preference. 

Advantages: 
  1. All info in one place - less things to look at! 
  2. Consistent info and doc links updated in real time in Asana.
  3. Asana is set up in departments already so easier view by relevance. 
  4. I've been told Google Groups is clunky and outdated. This forces Team Leads to utilise Asana. 
Notes: Not sure if a con, but will clear out those emails which aren't currently registered with Volunteers. There's 120 odd threads on the Team Leads Group, I can move these all into the ExCom Live (which has over 2000 threads) and ExCom internal where relevant (if we move, the earlier the better). Departments/teams can add multiple users as Guests to their relevant task (or department) on Asana, so we can have non @kiwiburn users follow tasks where needed without them having to create a log ins.

hmmm i quite liked the team leads group when it was functioning. i feel like it served a bit of a different purpose then Asana. more about posing questions and being able to network with the right people. but it has hardly been used over the last two events so not sure its worth getting kept or not

Good point re general networking, but yeah I did notice the lack of use in the past 2 event years (last year not counting obviously).

Yes it was sent to all active role emails, we've had 10 votes on the Doodle Poll so far (reminder: this ole will close on the 20th August). All are welcome to discuss further on this thread as well.

12 people voted: 10 in favour to decommission the Team Leads Google Group. 

There are currently 126 threads on the Team Leads Google Group (to give perspective, there are 2388 threads as of this morning on the ExCom Live thread). I will proceed to move the Threads from the Team Leads Group to either the ExCom Live thread or internal thread if commercially sensitive/a privacy concern for a participant or other member. Once completed, I will delete the Team Leads Group. 

Future Systems moving forwards:
Team Leads can take their discussions to www.asana.com on the relevant task they apply to - it is possible to add external emails as 'guests' so team members without @kiiwburn.com emails can participate in these discussions and follow topic Threads. 

Some Team leads I've spoken with have recommended the use of Slack (which integrates with Asana software) for their specific team discussions: "With the Asana for Slack integration, you can turn conversations and ideas discussed in Slack into actionable, trackable work in Asana. Or, ensure what seems like a quick question (but isn’t) becomes a task with an assignee and due date."  I've been told you can can more informal 'chat' like discussions - Black Sheep Ranges Co-Lead Sam mentioned this, suggesting Slack was less 'clunky' than Google Groups. 

I've yet to explore Slack as an option and still know little about it sorry, but I'm open to innovative solutions to help our communication systems and operation - Team Leads feel free to contact me with ideas!

I use Slack for a few things. It is really good, tho I urge all teams with kiwiburn email addresses to keep the chat within kiwibnurn's gsuite, so a google group would be the preference.

Interesting. I know the Rangers have a Google Group for their team , though do not know how much use it gets.
