thought i would get the ball rolling on this. im starting work in queenstown on the 17th of april so ideally it would be before then, so weekend of the 7th of april would suit me best. keen to hear when works for others?

there are a couple of things we talked to Mark about doing during the year, so need to work out if we are going to do these immediately before/after the summit or at a totally different time later in the year

I will only be going to the Summit if my presence is absolutely necessary.  I have no idea whether that will be the case or not, hopefully not.

Available dates for me are:17, 24, or 31 March weekends
Any time in May

Could be good to start a doodle date thingy?

I have just emailed Andrea to ask for availability dates for the lodge. 

Makes sense to have the work weekend either side of the summit. Will need to hire contractors to finish some tree work so I would likely stay down there for the week in between to supervise them.

I'm out for the 8/9th of April. All other dates, are, at this point, fine for me. I would prefer the late April date. If it's going to be put off until June, then we should be aiming for early, early June. 

June strikes me as ... quite late.

I've put my availability on the doodle. I'll have finished up as Treasurer and have resigned the ExCom by then but I'd be happy to attend so that I can hand over some of the Treasurer stuff in person (preferably if the new Treasurer can also be there).

The doodle poll is not filling me with confidence that everyone is going to be able to make it. 

Another thought (just to confuse matters). I know we're obliged to hire the lodge for a weekend. Do we have to have the summit there though. I'm wondering what the possibility of finding an AirBnB or some such in Wellington for a day or two in May might be? Assuming people have time in May? June seems awfully late to me.

I would like to come to the summit as the cook depending on my availability. I live in the country now so that should be a lot better than last year.

As we know this is turning into a scheduling headache so I am proposing a new plan which is basically what Ben outlined above. 

We have the summit elsewhere sometime in May (hopefully there is a weekend that suits everyone) and then we hire the lodge (our contract says we have to) later in the year (June/July) for the work weekend.

So I have added some May dates to the doodle. Please update with your availability. 

Its looking like the majority of people are in Auckland so makes sense to have the summit there. We could either try and have it at the auckland burners space and everyone who is coming up could stay with those of us who live in Auckland. Or we could try and hire a place where we can all stay and have the meeting. Let me know what you guys think and I can start looking further into the details. 

The MPW work weekend is to do container maintenance, yard work, plant trees etc and we will also hopefully be having some contractors in then to finish the tree work. A few of us tried to camp onsite in June a couple of years ago and it was awful, its bloody freezing so having the lodge to stay in will make this possible.

I won't be on the ExCom by then and my only interest in attending was to hand over to a new Treasurer. I think that it would be more efficient to have a one on one hand-over meeting (or a series of phone calls / skype etc). As such, I won't be attending the summit this year either.

I do think that it's important for someone from the Finance team to attend, however. This would be to collect budget requests and to discuss improvements to processes etc (I know that this year was very chaotic and we really want finance to run more smoothly next year). I strongly suggest inviting Laura to the summit this year.

So it's about time we locked this in methinks so we can book a venue and organize people getting places. 

Looking at the Doodle, I'm going to call May the 12th as best date we have to hand. No matter what date we choose we're going to be out a couple of key people.

Okay so the summit location and date is now locked in. Sorry about the delay. 

The dates are 12th - 14th May.  Its going to be at Otimai Lodge in Oratia, Auckland. This is a girl guide lodge in the bush, it has a large meeting room (with a fireplace), a big kitchen/dining area and plenty of beds. We will need to bring our own bedding and towels so it would be great if those who live in Auckland can bring extra as lots of people will be flying in (but if you are flying and have room in your luggage then do bring some). We will also bring tea towels, cloths and bath mats. 

So everyone that lives outside of Auckland will need to fly or drive up. If you are flying up and can afford to then purchase your flights and send the receipt and your bank details to the finance team and they will reimburse you. If you can't afford to cover your flights then send me an email and I can pay for them on my KB card. If you are driving then scan your gas receipts and send them to the finance team.

Leaving, I can get you back to town where you can catch an airbus directly to the airport - I have an event in town on the Sunday evening so timing is stretched sorry 😐

I'm going to book flights soon- combining this with trip to visit other family and friends, so will probably stay a few days either side (and would be keen to hang out and do things with cool people). I'll need help getting from Auckland to the lodge :) will just have carryon luggage but can probably borrow bedding etc from my Grandma. I eat everything, please make sure there's coffee <3.

just catching up on all this -- i'm not on the email chain so didn't know we had set a date. will talk to scott this weekend and make sure i can come. looking at flights, what aproximate times friday and sunday would work to organise transport to and from lodge? 

so:
1: possibly
2: vegetarian (occasional seafood)
3: can probably bring sleepingbag

Hi Tania or other people flying in. I am travelling to Auckland from Paeroa and could easily pick someone or people up from the airport on my way .
can you tell me when you arrive. There is only me in the car.

I haven't booked tickets either and will need Kiwiburn to pay for them directly I think, was about to email Poppy about it then saw this message. Maybe we could aim to arrive together Laura? If there is enough space for both of us.

Sorry just saw question about times.

The meeting officially starts on Saturday morning at 8 or 9am so anytime Friday is good, will have dinner for those that are there around dinner time.

Not sure what time meeting will go to on Sunday as agenda schedule isn't out yet, I'd say the later the better as we have a lot to go through. Maybe aim to leave lodge at 5pm??

I would aim to leave the lodge earlier than 5pm. last year everyone scampered back to wellington by mid arvo and would have gone earlier if jaz and I didn't protest and insist the schedule ran as planned. I believe a similar thing happened the previous year too. it's uncool when you have to travel and not get home til 9 or 10pm to have to wait around when locals have gone home.

maybe a good idea to get a plan sorted asap for the summit to manage expectations?

so do I and that gets said every year and then things get rushed on the last afternoon and people bail early. there's a lot to discuss. I would suggest 4pm as a finish time rather than 5pm as some people still have to get to airport then fly home.

I'm presuming own bedding includes duvet/sleeping bag. Own towel was mentioned also. Poppy also said we need tea towels and bath mats so I'll bring those too. Will include a few extra towels and blankets just in case they''re needed.
