Hey guys,

Sorry for being so quiet since the event ended but it been a hectic week.

I think it is about time we start throwing around dates for the Summit so we can inform Andrea and hopefully be able to book the lodge.

Is anyone able to make up a doodle?

Just so you guys are aware, my window for being able to attend will be very small. It will effectively be limited to the last couple of weekends of March. After that I will probably be to far away to fly back. I might very well not be able to attend.

Easter Sunday is March 27. Do other people have easter plans? The long weekend would be easier for me.

I believe the Wellington decom is planned for Easter, but it's still the best weekend for me because I'm all out of leave for any other one.

I've put in an "if need be" option (it's the (Yes) one) so you can indicate if the date's inconvenient, but possible.

Easter is a definite no go for me, I love Kiwiburn but I don't love it taking my long weekend.

Also, I'd like us to think about more effective ways to run the summit. I don't know if all issues need to be talked about by all people and it may be much better to break off in to smaller groups and discuss things then report back to the wider group or some such thing.

I've got a few ideas, too.
There's a list of ideas for the agenda in Asana - if you can add ideas there or email them to me, we'll get a rough agenda up and can discuss how to approach it.

I'd really like Ash to come, her input would be really beneficial. I'd also like to suggest that Kathy come as our cook but also because her input would be valuable too.

I'd like to avoid easter weekend if possible but can work it so I can make any date we set.

Seconding Ash and Kathy.

I am only available on a couple of the offered dates, Easter is one if them. If a date is chosen when I'm not available we'll need to choose a 2ic to chair it.

I've heard Ash and Kathy so far. Do we have a cap on how many people we can afford/cope with?

I'd find having some of the team leads (or at leastTania as admin lead) there really useful.

Last couple of years 11 to 12 has been a good number. I believe the lodge can sleep 12 in beds, after that people would need squabs/sleeping bags.

I think we should seriously consider who doesn't need to be there also. I don't think the entire ExCom needs to be there necessarily.

Okay, can anyone suggest to me a rule of thumb for who needs to be there? I haven't been to Summit before but I thought it was an ExCom thing.

Also, is ExCom required to make decisions at the Summit? Because if they are, that affects who needs to be there - we will need to meet quorum of ExCom members, and will need to be sure other members know decisions will be made in their absence.

I haven't flicked the Doodle to Ash and Kathy because I'm not sure how many people we want to invite and what they're expected to contribute.
Also, if you've state da preference here but haven't filled in the Doodle poll please do this - it's currently showing a preference for Easter weekend, which is different to what I'm hearing in the thread.

Decisions are not made at the Summit because it's not an open meeting. It's more about discussing issues, strategising and planning.

Historically it's been excom only but the pay couple of years others have been there too. Ash for example, and Bex when she was heading up Paddock Relief.

This year it's been suggested that not all excom need to be there, which is a first. Reality has been that not all of us have been able to be there in the past, and it looks like this year may be even harder to get everyone together.

The result from the doodle should be helpful to see who is available when, so I second getting that done asap.

In terms of who needs to be there, here's my take:

1. Someone to facilitate/chair the meeting (usually me)
2. Someone to record it (Nicola)
3. Someone representing finance (Karl and/or Brendan, Laura has attended in the past)
4. Someone representing Site Ops (Poppy and/or Karl)
5. A regional rep would be handy especially if we're discussion international relations (Tim, Pete, or Mark)
6. Someone representing Admin (Tania?)
7. Other people with both excom and volunteer roles: Isa, Oliver.

8. Folks not on excom but always good to have: Ash (just all round awesome and organised with great strategic thinking), Kathy (cook, lots of archival knowledge, good strategiser and potentially fulfilling a role there is currently a gap for in the next year), Shelley (media liaison always good as this role becomes more important).

9.  Other people who are mainly Dept heads who may benefit from being there: Jeanne (Paddock Relief), Jaz (Gate), Lydia (Volunteer coordinator).

Any and all of these are up for discussion/debate.  The list is 14 people before we get to the dept heads even if Laura doesn't come.

Added my available dates to the Doodle. 

I'd very much so prefer we did not use Easter weekend if possible. My personal reasoning being that I'm on the tail end of a 4-month tour of duty and would love to keep that weekend free to enjoy life at my preference, rather than add another festival-orientated obligation to my roster.

I'd just like to point out here that in the past, we've had the Summit over at least 3 days. If we hold it outside of Easter and still have it three days then I simply won't be able to go.

Some might feel this is not a disaster in and of itself, but it begs the question, who else can't take time off work to do the Summit this year, and can we actually achieve our aims in 2 days?  I think this is worth thinking about.

The summit is usually about picking the weekend when the most people can attend. If you can't make it on the weekend most others can then so be it.

I really think Wendy should be there. I would prefer Easter because I doubt we can cram it all into two days and I'm not in a good position to be taking time off work. If Easter is not possible then I suggest we try to cram it all in to two days and manage the time as best we can.

Last two times I've been it's been Thursday night, talk all day Fri and Sat, and head home Sun.  We are obliged by our contract to rent the Lodge for at least 2 nights.

I came along two years ago and arrived friday night with Isa (and charlotte the dog) and we didn't start proceedings til saturday morn - I checked the Minutes and they concur. I wasn't in attendance last year as foot was in plaster.

If we need to do it in two days we may just have to be strict about what we need to get through.
Otherwise, if we had to do three days the only three day weekend after Easter is Anzac Weekend in late April. Personally. I'm not really keen to try and get leave.

Looking at the list of non-ExCom people, I think it's safe to flick invites to the suggested people with a note that final attendance is TBC/subject to numbers, but that we'd be keen to know their availability for planning purposes. Is Kathy aware that we might want her to cook for us or to I need to let her know?

I'm just having a chat to Charlie about Afterburn report timing.
My thinking is that if the Summit is earlier than usual, we may run off drafts or bullet points for the post-event discussion. It's easier to have the proper Afterburn report, but I don't want have to rush people if it's not critical. Thoughts?

If that's the case then my pref would be weekend after Easter. I have teaching right up to Easter. Id of course really like to be at  the Summit.

OK, so we've heard from everyone except Kathy, and the two most popular dates are 9/10 April, and Easter weekend (25-28 March).  

9-10 April - Most people can come but no Karl and no Isa
25-28 March (Easter) second best date but no Hippie, Shelley, Lumos, Jeanne or Mark.

Personally I think it's vital that Karl be at the Summit, and while it would be lovely to have the five people who said they can't make Easter there, if we have to decide between numbers vs potential value to what we want to achieve, I have to vote for Easter as our Summit weekend.

Hi, it's an important thing to talk about what just happened and to plan for the future, I am reading this and it feels like it's being rushed through and that doesn't sit well with me. Especially as the majority of people can make 9-10 April incl. Isa (the doodle poll was started under the misinformation of needing three days). 

I agree it would be great if Karl could be present, and tho very useful if I was there, it's certainly not critical. As the most active Regional Rep, I also think the Summit would benefit greatly from Hippie's presence. Can we not find a way to improve the comms connection on site and have Karl Skype in? Mark the farmer mentioned to me something about a piece of Vodafone equipment he had that would help on the Paddock.

You'll note the doodle poll has every date apart from Easter and Anzac as a two-day event.  I assume people actually read these things and take them into account when filling them out.

Needing three days was not misinformation. It was an assumption/guess at worst, based on having needed all three days last year.

I do not think attempting to have such an important meeting with one person attempting to keep up on Skype would help with our getting through everything in two days.

Just going to add a couple of thoughts and I will leave it for you'll to decide as this seems to be swinging on me at the moment.

I don't think having the summit over Easter is rushing things at all. I think it is a good amount of time to let dust settle and have a clear indication of what has happened and what we need to talk about moving forward.

Well my presence would be would be pretty important for several different reasons, it is not entirely critical. It would be beneficial to have Shelley and Hippie there and as long as most other folks can make it then you will live without me. 

I probably wont attempt to call in on Skype as I have never really seen this work properly. I will most likely attempt to make the points I'm wanting to with reports or through passing information onto others before they get there.

I'm still in preference of avoiding Easter. I'm technically available but I'd honesty prefer to be elsewhere in the country, as one of my favourite events of the year is held over that weekend. I'd likely end up choosing the summit but yeah, I'm not all too excited about having to make that decision.

I'm fine with not being there. I think it definitely helps with the flow of things as last time I didn't make the summit I remember feeling extremely frustrated as the conversations that happen there are assumed as decisions even if they aren't decisions so it makes it work better to be there and be part of the conversation.

I can give my thoughts on various subjects via email.

Easter weekend I already have flights to Christchurch to see family and friends so definitely won't be there but that's all good.

I just had notice from Andrea that Easter weekend at the Lodge has now been booked for someone else so we can't have the Summit then anyway.  Bollocks.

In this case I suggest we go with the most popular date among those that Karl can't come (which is all of them except Easter),

I have some reservations about making the excom too Ops-heavy, especially since the Worksafe thing has highlighted how much we need people who can do paperwork, policy, and process.  However, I've no objection to either Ronan or Ro (or both) coming to the Summit as I think their input would be valuable.

I have no objections about them being there as far as people go but I think that there are other people who are probably in similar positions.

As I said in the other I think we should perhaps make a call out, or maybe shoulder tapping is better, to those people who want to join the ExCom now so we can vet them now and invite them to the summit if we are interested.

However, Hippie has made a good point, in that there may be other people who are interested in joining the excom.  If this is the case (I haven't heard of any), we should probably decide how many, if any, we want.

I think one, personally, and that's only to make it an odd number.  I think 9 or 11 is a good size.

Hey guys, at the risk of sticking my nose in where not wanted, I thought to mention I'm doing some work with Mark and Andrea on their property. 

We're looking into options for waste management, food gardens and improving general infrastructure around the site to accommodate other events such as permaculture workshops throughout the year.

Obviously these guys can do as they wish on their property, but they believe in the principles of Kiwiburn and don't want to create any negative effect on the event.

I believe this is an opportunity for Kiwiburn to save money on core infrastructure, improving efficiency during set up and pack down.

Just throwing it out there, but I'd love to help and don't want to step on anyones toes if we start building composting toilets near the festival site. 

I have years of experience setting up events of all sizes, with practical skills and a good knowledge of H&S, crowd control and all that boring but essential stuff.

Thanks for getting in touch with us! Sounds like you're doing some really interesting work.  I guess my question about placing composting toilets would be, will they be included within the area Kiwiburn uses, and if so will they be available for Kiwiburn participants to use during the event.

It'd be kind of interesting trying to stop them if they were out of bounds, y'know?  

I'm also curious what other work you're doing - we'd certainly be keen to know more, it sounds like it's the sort of thing we'd be into anyway, so let's keep talking!

The notion of intentional modifications and improvements to the site is something I am wishing to discuss at the Summit, as it's something my mind has been mulling over a fair bit after a discussion with Mark during the build wherein he queried me on what modifications I'd make to the site given the opportunity.

If we're to stay at Rathmoy in the long term I think that this is something we'd be very wise to explore with our hosts.
